Job Description : The Administrative Assistant/Receptionist reports to the Director of Property Management. The Administrative Assistant functions as the primary administrative support for the Anchorage Facility.
Primary/Major Duties and Responsibilities (Essential Functions):
Greet guests, answer and direct incoming calls in professional and courteous manner.
Take and receive messages as needed or directed by staff.
Provide callers with basic corporate information such as company address, directions to locations, fax, website, etc.
Ensure coffee and water is always available for guests during normal business hours.
Keep reception area clean and free of clutter, remove any outdated brochures and reading material from lobby.
Maintain corporate calendar and conference room schedules.
Keep conference rooms clean and presentable, inspecting them on a regular basis to prepare for all meetings.
Process and distribute both incoming and outgoing mail in a timely manner.
Notify recipients and distribute faxes in a timely manner.
Maintain facility supplies for both the office and break room ensuring all are organized in a consistent manner.
Provide administrative support to all departments as requested, including but not limited to; shredding, typing correspondence, performing data entry, sending faxes, preparing and mailing packages, copying, filing, and making phone calls.
REQUIRED QUALIFICATIONS AND EXPERIENCE:
Required Qualifications and Experience:
A minimum of two years’ experience in all aspects of administrative support.
Ability to communicate with the public in a professional and courteous manner and handle difficult situations.
Must adhere to the Corporation’s confidentiality policy.
Excellent organizational skills with the ability to meet deadlines and prioritize work effectively.
Strong computer skills with proficiency in Microsoft Office Suite programs, Adobe Professional and the ability to exercise strength in internet research projects.
High School Diploma or GED.
Valid state driver’s license with a clean driving record.
