Job Description : Administrative Assistant

Under the general direction of the Office Administrator, the Administrative Assistant provides support to assigned attorneys as well as any attorney or management personnel as needed in the New York or other offices. Additionally, following essential functions are key components of this role:
Maintain calendar and contacts
Experience with TOCs and TOAs
Proofread documents upon attorney request
Perform photocopying, scanning, faxing, binding, filing, etc.
Track monthly expenses and prepare expense reports in Chrome River application
Prepare legal correspondence, documents, electronic filings, etc.
Create and maintain files
Track attorney bar/court/CLE information
Enter attorney hours into time management system
Meet/greet clients; arrange meetings (including any beverage/food and AV requirements)
Prepare new client/matter forms; engagement letters, etc.
Make travel arrangements
Review and edit of monthly prebills; drafting cover letters for same
Cover Reception as needed
Minor personal work for a Partner
Other duties as assigned
Experience and/or Skill Requirements
Office experience required, prior law firm experience is preferred.
Excellent communication skills, both verbal and written.
General knowledge of office equipment and tools.
Strong Microsoft Office skills – Word, Excel, PowerPoint, Outlook and various document management tools.
Ability to build rapport with attorneys and professional staff.
Strong organizational skills with great attention to detail.
The ability to work independently but within a team environment.

Position Details
This is a full-time, benefits eligible, non-exempt (hourly) position with a standard 35-hour scheduled work week. Hours may be flexible, but generally must conform to a multi-state/time zone operational need (i.e. 9:30 to 5:30 M-F). Flexibility with regard to overtime needs is mandatory. The incumbent’s ultimate hourly rate of pay will be determined based on prior experience in relation to the posted requirements.
