Job Description : Summary Position Statement: The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role.ResponsibilitiesGreet customers and clients, handle patient inquiriesAnswer incoming calls, direct calls to appropriate personHandle and coordinate active calendarsSchedule and confirm appointmentsAssist staff with department specific projects and reporting requirementsOrder and maintain office supplies and equipment, as requiredProcess customer/client/vendor invoices and payment to ensure expenses are recorded and paid in an up-to-date and accurate mannerAssists with the processing, recording, and filing of a variety of documentsManage/verifies expense reports, reconciles expense and other financial reports with account balances and other office recordsFacilitates payments to vendorsEnsures outstanding obligations are credited upon payment, identifies discount opportunities, and issues purchase order amendments or stop payment orders as neededAssists with accounting records and ledgers by reconciling monthly statements and transactionsMaintains confidential informationProcesses all release of information requests and must adhere to standards established by Alaska regulations that govern confidentiality of recordsKeeps a log of requests, and responds and records action takenQualificationsIn accordance with State of Alaska residential care licensing regulation and Medicaid, the applicant must be at least 18 years of ageas required by legislative, regulatory, and funding overseers.Possesses excellent written and oral communication skillsPossesses excellent problem solving skillsPossesses information technology skills required to use agency equipment to carry out position functionsAbility to function on an interdisciplinary teamAbility to involve frequent changes of tasks using different techniques, procedures, working conditions, or degrees of attentiveness without loss of efficiency or composure.Ability to perform independent actions or judgment according to set standards without frequent supervision.Must be efficient, and able to multitask.Must be able to read, write, and speak English.Knowledge and understanding of all agency protocol, policy, procedure, plans program requirements.Excellent time management, organizational skills, and computer skills (Google Drive) are also necessary qualifications.Must demonstrate and display an understanding and sensitivity to serving a culturally diverse and/or special needs population.Must possess a clean driving record and have a valid state of Alaska driver’s license along with a valid certificate of insurance and auto registration.Must be able to pass a state and federal background check.Equipment UsedMac Computer with Google DriveAKAIMSFax MachineCopierTelephoneLaminatorPhysical Requirements: Ability to perform mainly sedentary work.Visual acuity necessary to utilize a computer monitor throughout the course of a normal workday.Ability to perform repetitive keyboarding activities and operate general office equipment.Working Location: Work is performed at the Birchwood Behavioral Health office..Driving Requirements: Must be able to drive, have a reliable vehicle, and have a valid certificate of insurance for driving a personal vehicle for transportation between various locations within the Anchorage area. BBH employees do not transport clients in personal vehicles. This is only for one’s own individual transportation.Licensure: All employees of Birchwood Behavioral Health must meet and maintain all statutory, regulatory and licensing requirements of the Department of Health and Social Services (DHSS) and Federal Medicaid standards. It is the responsibility of the employee to notify BBH immediately if they no longer meet requirements. All information regarding these requirements can be located at the DHSS website.
