Job Description : JOB SUMMARYPrimary responsibilities are to provide general support to brokers in a boutique retail brokerage firm of 25-35 employees. The Administrative Assistant is responsible for handling the day-to-day administrative duties for a portion of the brokerage team while providing a positive, professional company image with all internal and external contacts, maintaining confidentiality, discretion, tact, diplomacy, and flexibility in their daily work routine.IDEAL CANDIDATEYou will have a strong sense of self-motivation, excellent organizational skills, and a love of learning and growth.You will work collaboratively with the team to understand the needs of the business and help problem solve, organize, and manage tasks. We are looking for a critical thinker who takes initiative and isn’t afraid to fail, learn from mistakes, adjust, and try new things.ESSENTIAL DUTIES AND RESPONSIBILITIES· Prepare and modify documents including letters of intent, correspondence, reports, drafts, memos and emails for all brokers.· Lead effort to generate marketing hitlists, respond to tenant and broker inquiries and work with the marketing department to create and update marketing materials.· Maintain progress reports for Tenant and Landlord clients and participate in periodic calls/meetings with clients.· Develop fluency with software used to track transaction flow. Input new transactions and close out completed deals prior to brokers’ review for processing.· Develop fluency with software used to update records for current property listings and create records and brochures for new listings.· Maintain project lists and spreadsheets to assist brokers with tracking client deal pipelines.· Carry out special projects and be able to adapt to last minute tasks to help hit sensitive deadlines.· Pull monthly pipeline reports for review by all brokers and additional reports as required.· Provide general administrative and clerical support including answering the main phone line, mailing, copying, filing and other related duties for other brokers and staff.QUALIFICATIONS: · Some office experience, preferably supporting a team· Great work ethic with high degree of initiative and independent judgement· Effective interpersonal skills; strong negotiation and presentation skills· Commercial Real Estate experience preferred but not required· Excellent analytical, organizational, interpersonal and communication skills· Ability to manage multiple tasks and within an inconsistent workload, excellent time management skills· Professionally able to respond to changing demands from multiple sources· Advanced applications in Word, Excel, Outlook, and SharePoint.· Excellent verbal and written communication skills· Ability to work independently and as a team member· Must be able to manage company related information in a confidential manner and exercise discretion· Responsive, flexible attitude with an eagerness to take initiative and assume responsibility· Must be able to consistently achieve high work standards, attention to detail· Ability to understand and interpret legal clauses and documents· Proven success in improving areas of responsibility; and accuracy and timeliness is a mustOTHER CRITERIA FOR CONSIDERATION: · Ability to work overtime as needed.· Must be adaptive and flexible.· Must have a positive attitude.· Committed to learning and personal growth.· Excellent interpersonal skills and abilities.· Demonstrate commitment to learning and growth.· Driven and goal oriented.COMPENSATION AND BENEFITS: Benefits available (medical, dental, vision & long-term disability)Compensation $50K up to $60KPaid time off401KPotential for an annual bonus401k – 3% Employer Contribution AnnuallyJob Type: Full-timePay: $50,000.00 – $60,000.00 per yearBenefits:401(k)401(k) matchingDental insuranceHealth insurancePaid time offVision insuranceSchedule:8 hour shiftMonday to FridaySupplemental Pay:Bonus payAbility to commute/relocate:Phoenix, AZ 85016: Reliably commute or planning to relocate before starting work (Preferred)Education:High school or equivalent (Preferred)Experience:Commercial real estate: 1 year (Preferred)Customer service: 1 year (Preferred)Microsoft Office: 1 year (Preferred)Work Location: One location
