Job Description : The Executive Assistant is a dynamic and organized individual with experience in diverse movement work. They are comfortable interfacing with all internal management, staff, board members, donors, and external contact. they have a passion for organization and keeping things running on schedule. Problem-solving and solid attention to detail is core strengths. they preferably have experience in administrative support and demonstrate a high level of professionalism in dealing with confidential and sensitive information.HOURS: Monday to Friday- the role requires flexibility in scheduling based on the needs of the Principal and other executives. This is not a 24/7 role, but a 24/7 on-call mentality to receive communications is advised.Candidates should have exceptional communication skills, a commitment to achieving a high level of accuracy and attention to detail, and a no-task-too-small approach to the work. An ideal team member will be able to work well independently but also be flexible enough to be directed at times.Job Responsibilities: Maintain and coordinate CEO calendar, attend meetings and follow-up with tasks delegated to executivesWork closely with CEO on a daily basis in all matters related to businessCoordinate travel as requested for CEO, Principal and executivesProvide “gatekeeper” and “gateway” role, providing a bridge for smooth communication between the CEO and staffAssist executive staff as required (arrange meetings, and events)Coordinate with executives to ensure smooth business transactionsMaintain office space (supplies)IT Liaison between CEO and IT companyCreate quarterly reports for business officeMaintain files on company policies and handle document distributionCoordinate special projects- Initiate projects, follow through with administrators and then hand over to administratorsHandle personal affairs for CEO and PrincipalMaintain monthly Credit Card Statements, CEO reimbursements and Principal distributionsAnswer main phone line and respond to inquiries.
