Job Description : Registered Investment Advisory financial services firm is seeking a full time Receptionist. Our firm is a family owned, community service oriented local business that services individuals and small businesses with retirement planning and investment/wealth management.We are seeking an honest, hard working, organized, detail oriented individual to be the cheery face at our front desk, to schedule client appointments, manage our incoming calls and perform administrative tasks such as copying, scanning, faxing, bulk mailings, social media updating and advisor assistant duties as assigned. A person with a penchant for to do lists, organizing and self managing is a must!This position is open April 01, salary to be determined based on experience and education.A couple other notes, we have a upbeat and team based working environment that thrives on fun and hard work. Ability to work outside assigned work hours is a must.RESPONSIBILTIESManage multi-phone line system, take messages or re-direct calls to appropriate staff.Open, sort and distribute incoming correspondence, including faxes and email.Sign for and distribute UPS/FedEx or similarly delivered packages.Maintain client correspondence containing routine inquiries.Greet clients at front desk and provide coffee, tea & waterPrepare meeting room and materials for daily meetingsPrepare & orchestrate next day air deliveries.Maintain and update individual client files.Organize and maintain central correspondence files; perform daily and weekly filing.Maintain electronic client database including records and correspondence using Redtail CRMAdvisor Assistance as neededCopy, scan as necessary.Expand knowledge of this industry through available resources to better support FAsCheck deposits for client accounts & daily cash need requestsMeeting preparation for advisors to include report creating and printingOther administrative tasks as assignedSocial media managementSKILLSEssential skills include:Minimum two years’ experience in an administrative/financial services roleDemonstrated experience handling client concerns and issues with tact and diplomacyOutstanding written and oral communication skillsAbility to work independently and effectively as part of a team, while handling multiple tasks and responsibilities simultaneouslyAbility to manage multiple client situations, needs and inquiries simultaneouslyMust be able to develop and maintain good working relationshipsCAREER, COMPENSATION, AND BENEFITS:We’re a local family owned company run by a relatively small group of individuals who are inspired by what we get to do to every day.
