Responsible for the care, tracking, documentation and management of the University’s continuously growing permanent art collection, as well as loans from individuals and other institutions. This position processes all acquisitions of artworks, including required documentation such as deeds of gift, appraisals and related documents, retrieving and tracking artworks when requested by faculty, visiting researchers or other constituencies for study or educational purposes. 1. Maintain Collections information and records
Exercise proficiency in the application of American Alliance of Museum (AAM) standards and best practices for documentation, maintenance and tracking of museum collectionsAdminister collections management system (CMS) to contain pertinent object information, meeting high standards for thoroughness, accuracy and consistency of data and formatUpdate CMS records continually to reflect new accessions and deaccessions, current scholarship, changes in value, recent photography, as well as the addition of scanned and digitized documents (Deeds of Gift, invoices, condition reports and other documents); in addition to object records, this shall include data about the history of Lehigh University Art Galleries (LUAG) exhibitions, loans, publications, research and related informationUpdate database records continually to reflect new accessions and deaccessions, current scholarship, changes in value, recent photography, as well as the addition of scanned and digitized documents; in addition to object records, this shall include data about the history of Lehigh University Art Galleries LUAG exhibitions, loans, publications, research and related informationTrack the location and status of objects in the collection, including all new acquisitions and promised gifts; home locations and movement of objects in storage, within the study environment, exhibitions and on campus; loan procedures, paperwork and electronic records for loans to other institutions; de-accession and disposal of works removed from the collection; updating not only the electronic record, but generating printed labels, lists and other finding aids in the storage environmentConduct research about artists, individual art works, biography, provenance and market value of new acquisitions and works in the collectionParticipate in the photographic documentation of the collection, and manage photographic information as it relates to collections recordsSupervise professional photographic documentation of the collectionSupervise and mentor student workers and volunteers involved in collections care, management and documentationGenerate custom reports and spreadsheets about the condition of objects leaving and returning to art storage, object location and value, objects requested for class study, research or loans
Manage research archive as it relates to the collection
2. Conduct and document legal transactions with regard to acquisitions, loans and deaccessioning
Manage the process of new acquisitions to the collection in a timely manner, including preparation of Deed(s) of GiftCreation of new object and artist records, as well as the maintenance of a detailed acquisition log to document the history and legal status of objects entering the collectionAdminister outgoing loans from the collection to other institutions in a timely manner, including: loan contracts, stipulations, fees, insurance coverage, facilities reports and transportation; work closely with curatorial team to arrange for packing and/or crating of worksProperly record deaccessions from the collection, including records of the ethical disposition or disposal of works removed from the collectionUpdate museum paperwork to conform to current and evolving AAM standards and best practices; recommend procedure updates to curatorial team
3. Manage the physical welfare of the collection and the storage-study environment
Create and implement procedures and practices for the safety, protection and integrity of the art collection in accordance with the highest professional standardsManage the daily operation of the collection’s storage environment; ensure the storage areas and study gallery are conducive to collection preservation and free of trash, clutter, unattended objects, accumulated and discarded storage materialsMonitor and document facilities maintenance, cleaning schedule, smoke alarm maintenance; make recommendations about facilities maintenanceMake decisions to ensure collection is stored properly, including selection and ordering of appropriate archival storage materials, supplies, containers and systems; undertake the physical housing and clear labeling of collections items and containersPhysically transport collections items within the storage environment using best practices for art handlingMonitor condition of collections items for signs of deterioration or need for conservation while transporting to and from storage; identify and report on objects in need of evaluation for conservation, complete and file condition reportsEnsure the safe and timely return of study objects and curatorial selections to storageClosely monitor storage areas for environmental hazards and disturbances, including, variations and sudden changes in temperature and relative humidity, presence of pests, leaks, alarms or faulty equipment; minimize traffic in storage rooms to maintain stable temperature and humiditySecure collections areas through the operation of security alarms, maintain locked doors, etc.; report any concerns or breaches of securityDirect and supervise student workers and volunteers; assign projects, coordinate schedule of workers and volunteers, classes, professors and visitors of Study GalleryMaintain and report student worker and volunteer hours; supervise and track progress of projects conducted by student workers and volunteersCollaborate with curatorial team to develop project ideas and priorities volunteers working in the collectionManage the flow of traffic within the storage-study environment with regard to class visits, student access, volunteer schedules, maintenance schedules, etc.
4. Provide supervised access to the collection for research and educational purposes
Provide supervised access to the physical collectionsOversee classes, students, faculty, staff, researchers and volunteers seeking to access the collection(s); on-site instruction to ensure that guidelines and best practices for handling and working with the collection are closely followedProvide supervised access to collections informationInstruct and assist students, faculty, staff, interns, researchers and volunteers who work with the collections management database; ensure confidentiality of collections information by asking visitors to sign and understand the “Disclosure of Information” agreementProvide support for visitors working in the collection; preparation of study gallery area, preparing collection items for viewing, handling and transportation of works, providing supplementary information about collections items and return of works to storage
Scheduling with professors who want to borrow objects or bring classes (or students) to study the collectionsProvide support for students and interns; suggest and discuss projects with interns and volunteers with curatorial staff; assign projects, coordinate, supervise and verify the projects are accomplished or in progressCollaborate with LUAG education wing, and Collections and Exhibitions team to schedule with professors who want to borrow objects or bring classes (or students) to study the collectionsCollaborate with Director, Curator, Head Preparator and Preparator and Collections Specialist to develop ideas for student projects relating to the permanent collectionContribute professional expertise for educational purposes, such as in classes, faculty workshops and public-facing LUAG events
5. Provide strategic support for LUAG team
Collaborate with other Lehigh colleagues with regard to collections care, management, access and stay abreast of best practices in collections care and managementCollaborate with the LUAG team to discuss planning, best practices for the collection, conservation, to exchange ideas, to report on the status of projects, to share concerns, to accept suggestions and prioritize collections tasksAssist staff promptly with any request related to collectionsContribute expertise to other areas of LUAG operations; supporting the schedule of changing exhibitions and loans by providing information about collections, performing condition reports on incoming loans and assistance with unpacking and art handlingIdentify and develop resources and educational opportunities for support of the collection and development of professional practiceBe attentive to changes in standards and best professional practices, including the development of new techniques for collections care and preservation

Qualifications

Bachelor’s Degree in Museum Studies, Collections Management, Archiving or related field or equivalent combination of education and experience; Master’s Degree in Museum Studies, Collections Management, Archiving or related field preferred

Three to five years related work experience

Supervisor experience preferred

Excellent communication (written and oral), interpersonal skills and a high level of customer service required

Ability to build, foster and maintain positive professional relationships

Adept use of digital communication preferred

Proven ability to manage multiple tasks simultaneously and a high degree of initiative for bringing tasks to completion

Solid analytical, decision making and problem-solving skills

Excellent computer skills with experience using word processing, spreadsheet and database software

Successful completion of standard background checks including but not limited to: social security verification, education verification, national criminal background checks, motor vehicle checks, PATCH, FBI fingerprinting, Child Abuse Clearance and credit history based upon the requirements of the position
