Job Description : Office Manager – Looking for a business savvy individual who is willing to train on the optical side!20/20 Vision Center is a growing and well established optometry clinic that has been around since 1998. We provide high customer service and high quality to our patients of all ages. We are looking for an Office Manager directly responsible for leading the office team in ensuring that the patient experience meets and exceeds our Practice’s promise of outstanding customer service and profitability.We are a private practice and are looking for someone that doesn’t want the stress of corporate life and wants to be a part of our family!Our team of 2 doctors and ten staff is located in Fort Collins, Colorado.ESSENTIAL DUTIES:Customer ServiceCreates exceptional value in the lives of our patients by delivering first in class patient service.Achieves or exceeds monthly customer service ranking goal.Monitors patient flow throughout the office, ensuring minimum wait time to our patients.Finance, Billing and CodingLearn how to properly bill and code various procedures.Achieves or exceeds monthly/annual sales projections in effort to maximize revenue and gross margins according to company goals and standards.Analyzes office performance data and makes recommendations to improve profitability.Research billing and coding discrepanciesHelp to understand key benchmarks, review financial statements and grow profit.Audit transactions.MarketingControls and directs selling strategies to maximize office profits.Develop a marketing plan for our practice.Will promote the practice via social media and other avenues.Attends all company required meetings, training events, seminars, clinics, etc.Direct Management of StaffEnsures all associates are properly trained in all areas of the office.Will train on managing staff to include, setting the schedule, managing performance, hiring and discipline.Ensures all selling standards are being achieved by sales personnel.Communicates, implements, and ensures compliance to all company policies, procedures and company changes to associates in an accurate and timely fashion.Leads weekly staff meetings.Communicates in a strong, accurate, and motivational manner.Provides communication to associates in regards to performance; provides direction when improvement is required.Generates a positive atmosphere by being a role model and encouraging teamwork.Audits and submits payroll on a biweekly basis.OperationsEnsures the office is clean, organized and professional looking.Manage Cost of Goods Sold and other financial benchmarks.Controls the correct level of inventory.Identifies areas of inefficiency in office and takes corrective action.Ensures compliance of daily activities; confirmations, bank deposits, daily sales reporting, etc.BenefitsWe offer wonderful eyecare benefits as well as paid time off, health insurance, continuing education, uniform allowance, and a 401(k) after one year of service.RequirementsA bachelor’s degree in business management or equivalent.3-5 years as a manager, management consultant, project manager, human resources or finance professional.Ability to come in and manage an existing staff of ten employees.Excellent communication, organizational and technology skills.Experience in a medical or optometry office preferred but not required.HoursWe are currently open Monday, Tuesday, Wednesday and Friday 9am to 5pm and Thursday 10am to 7pm.
