Job Description : Office Manager THE POSITIONThe Texas Association of Community Colleges (TACC) seeks a highly motivated and acutely organized individual to serve as Office Manager for a modest sized team located near the state Capitol. The ideal candidate will be a self-starter, who enjoys working with others to ensure a professional, customer-centric, and safe work environment. The Office Manager reports to the Director of Finance.THE ORGANIZATIONTACC is a nonprofit, nonpartisan organization serving the public community college districts of Texas. Working with the membership of community college Chief Executive Officers, our primary mission is to advance policy development, institutional practices in support of community colleges and their students.QUALIFICATION REQUIREMENTSQualified candidates must have earned at least an associate degree from an accredited institution of higher education and a minimum of three years of experience in office management or facilities operations. Attention to detail and a systematic approach to complex tasks are essential skills.JOB SUMMARY The Office Manager will organize and supervise all contracts and work orders pertaining to the upkeep and maintenance of the building and grounds. The Office Manager will provide organizational support to the staff by ordering and maintaining inventory of supplies and equipment and coordinating and outsourcing technical support. Other responsibilities include support with data entry, record keeping and providing member support and services to facilitate strong relationships with community college CEOs and administrators.ESSENTIAL JOB FUNCTIONSResponsible for organizing all administrative activities to facilitate the uninterrupted and smooth operation of the TACC building, grounds and offices.Implement and maintain office procedures and administrative systems.Process and distribute daily mail and log all payments in receipt booklet.Ensure computer equipment is ordered, maintained and entered into inventory.Assist with audio visual equipment for meetings, events and video conferences, as needed.Support others in organizing meetings and appointments for internal and external staff and guests.Train new TACC staff on submitting reimbursement requests and other business operations.Review and enter all reimbursement and payment requests into QuickBooks for processing.Reconciliation of monthly credit card statements.Invoice community colleges, as needed.Support Director of Finance with year-end tax documents and audit preparationsKNOWLEDGE, SKILLS & ABILITIES Demonstrate a commitment to cultivating a culture of diversity, equity, and inclusionCreative thinker with an acute sense of curiosityDemonstrate a commitment to customer serviceExcellent interpersonal and time management skillsStrong organizational skills and acute attention to detailsClear and professional communication skills with diverse stakeholdersAbility to manage multiple tasks and projectsProficient in Microsoft Office software, AV equipment, and virtual meeting platforms.Experience with QuickBooks preferred.Work Location and Travel ExpectationsThe Office Manager offices at the association building near the state Capitol Monday through Friday and has minimal travel expectations.Job Type: Full-timePay: $50,000.00 – $60,000.00 per yearBenefits:Dental insuranceHealth insuranceLife insurancePaid time offParental leaveRetirement planVision insuranceSchedule:8 hour shiftCOVID-19 considerations:Masks are strongly recommended in all common areas.Education:Associate (Required)Experience:Microsoft Office: 3 years (Required)Office management: 3 years (Required)Work Location: One location
