Job Description : Job Summary

Consider growing your career at Tacoma-Pierce County Health Department. Our Environmental Health Division is recruiting for a Regular, Full-time (1.0 FTE), Administrative Assistant III. The successful candidate for this position must have advanced level software skills, excellent leadership, cashiering and customer service skills.
Some of what you’ll do:
Use advanced-level software skills to design, create, maintain, and manipulate databases, prepare reports, presentations, charts, and design questionnaires and forms in support of the organizational unit or division.Serve in a lead capacity to orient and train administrative support staff; assist in the resolution of scheduling and coverage issues, participate in employee selection process; and may provide input into the performance management processes of co-workers.Provide specialized and/or technical program-specific information that requires interpreting established policies, procedures, codes, regulations and other relevant sources, to internal and/or external customers.Research and summarize specialized or technical information from varied manual and electronic sources.Plan and establish work methods, and recommend changes in work load and procedures.Compose, draft, summarize, prepare, proofread and/or edit documents, contracts, ordinances, motions, forms, and/or correspondence to ensure these conform to the appropriate use of language, specialized terminology and established procedures.Organize, establish and maintain data sources that may include contracts, budgets, payroll, legal documents and/or other records.Interview internal and external customers to gather program-specific documentation and identify services needed.Research and respond to complex customer inquiries and complaints.Schedule meetings and maintain calendars for managerial staff and/or organizational unit/program.May provide back-up for Administrative Assistant I and II staff.

What you bring to the table
Knowledge of complex office procedures and practices.Knowledge of grammar, spelling and punctuation.Knowledge of and advanced-level skill in the use of complex software applications and office equipment relevant to the position.Knowledge of basic accounting and ability to apply basic math skills to work performed.Skill in conducting research on a specific work assignment.Skill in communicating orally using tact and diplomacy with a diverse population of customers and departmental personnel to provide service and resolve issues, sometimes dealing with sensitive or stressful situations.Skill in planning and organizing work activities to meet established objectives.Ability to lead, train and orient support staff.Ability to maintain sensitive and confidential data.
Who should apply
Associate’s degree; and four or more years of progressively responsible experience in an office setting, or equivalent combination of education and experience to perform the essential functions of work.

Desirable:
Supervisory or lead office experience and/or training.
Environmental Health knowledge.
Lean experience and bilingual is a plus.
Working Conditions & Physical Requirements
Work Setting:
Work is performed almost exclusively indoors in an office environment.
The potential for dealing with dissatisfied or angry customers exists, requiring skills in conflict resolution.
Physical Demands:
Work involves special physical demands such as lifting and carrying 25 – 50 lbs. such as office supplies, cases of paper and archive boxes.
Tools and Equipment:
Duties require the use of standard office furniture and equipment (e.g., desk, filing cabinet, computer, printer, telephone, fax machine, copy machine, etc.)
Travel:
Some travel may be required, and is typically local or regional to conduct business or attend or provide training.
Emergencies:
When public health responds to an emergency you may be assigned duties that are outside your regular job description. This may involve responding at any time, including nights and weekends, with possible deployment to locations other than the department.
