Job Description : Athletic Development Associate Open to: Internal and External Applicants Full-Time or Part-Time Status: Full-Time, 12 months Staff Job Type: Salaried/Exempt Position Summary or Faculty Qualifications
The Athletic Development Associate is responsible for assigned activities for the Athletics Development Department with a focus on the planning, coordination and execution of assigned special events, donor stewardship activities, game day hospitality, benefit-related events, recognition programs and strategic fundraising events. Such events include, but are not limited to the celebration of 100 Years of Track, the 50th Anniversary of Women’s Athletics & Title IX, Athletics Hall of Fame induction celebrations, annual golf tournaments, sport specific season kick-off events and strategic alumni engagement events.
The Athletic Development Assistant will be responsible for the coordination of event staff, managing communications with donors and all event invitees, and managing record keeping pertaining to event-related expenses and revenues. The incumbent will serve as the primary liaison with all guests, venue contacts, marquee attendees and all internal stakeholders.
The Athletic Development Associate will support all operations related to the athletic annual fund (Hawk Athletic Fund), including, but not limited to, drafting written collateral, coordinating direct mail efforts, donor stewardship, member benefit distribution and more.
The incumbent will coordinate in close partnership with University Advancement, University Marketing and Communications and the Department of Athletics, and will work directly with coaches on all events related to their respective sports.
Duties and Responsibilities:
Evaluate, plan and execute of all aspects of Athletic Development events relating to assigned special events, donor stewardship activities, game day hospitality, benefit-related events, recognition programs and strategic fundraising events
Oversee all special events pertaining to Varsity sports, strategic athletics stakeholders, student-athlete alumni events, facility dedications, special anniversary celebrations and others including details such as: event staff coordination and oversight, venue research, contracts, logistics, design, execution, invitation, registration and budget
Evaluate, plan and execute all Hawk Athletic Fund benefit-related hospitality and stewardship events including Hall of Fame room access for all home Men’s Basketball games and strategic home Women’s Basketball games, semi-annual Athletic Director update events as well as donor-funded athletic capital project stewardship events
Provide detailed analysis of event performance and report on recommendations year-over-year
Communicate with internal stakeholders to ensure effective engagement strategies with marquee event attendees and special guests
In partnership with the Assistant Director, work with coaches to maximize event specific revenue opportunities for all teams to support sport-specific fundraising goals; help develop plans and execute strategies as appropriate
Support all Hawk Athletic Fund operations such as collateral writing, multi-channel solicitations, donor stewardship communications, member benefit distribution, crowdfunding activation and more
Assist in creating a strategy to engage key athletics stakeholders, including former student-athletes, Athletics Hall of Fame members, current and former parents, existing donors, season ticket holders, sport-specific alumni groups (formal and informal) and others – and work with the Director of Athletics Development to evaluate the viability of formal or informal affinity groups. Serve as liaison to such groups
Follow guidelines to ensure compliance with University, City, State, NCAA and A-10 Conference rules and regulations

Physical Requirements and/or Unusual Work Hours:
Standing for long periods of time
Ability to travel outside Philadelphia region
Evening/weekend hours required
Minimum Requirements:
Bachelor’s degree from an accredited, four-year institution
Excellent organizational, oral and written communication skills
Strong project management and interpersonal skills
Proven ability to self-motivate as well as work as part of a team
Preferred Qualifications:
Previous college/university fundraising event/stewardship experience
Previous athletic development experience
Additional Information: Hiring Range
$43,000-$45,000
