Job Description : Job OverviewFutura Automation, Inc is a solutions provider to North American manufacturers. We are seeking to hire an experienced Quickbooks Online (QBO) Bookkeeper to join our team. If you’re a passionate self-starter, Futura Automation, Inc is a great place to grow in an exciting and cutting-edge industryResponsibilities for Bookkeeper / Administrative AssistantOversee and support all administrative duties in the virtual office and ensure that it is operating smoothly and creating happy customersHandle all customer transactions; enter purchase orders from customers, verify accuracy against quotation; enter purchase orders to suppliers and receive confirmation; negotiate discrepancies; communicate order confirmation and delivery date to customers;Send out customer invoices when orders are shipped per the invoicing requirements on the customer Purchase Order;Maintain invoice aging reports and follow up with customers past due by email and phoneManage monthly sales commission reports from data in Quickbooks (matching paid invoices with purchase orders and shipping costs)Provide customer expediting on open orders; track shipments and address questions from shipping companies and US CustomsMaintain Accounts Receivable / and Accounts Payable in QBOMaintain product file in Quickbooks with pricing and inventory levelManage customer relationship dbase called Copper; keep updated, generate reports;Maintain prospect list in Copper in a timely manner; add prospects as opportunities and new data become available;Identify opportunities for process and office management improvements, and design and implement new systemsCoordinate with the Accounting team to ensure books are reconciled every monthProvide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing customer, market and product research, and creating reportsQualifications for Director Operations / Customer SatisfactionBachelor’s degree in business administration, communications, or a related field2-5 years of work experience in an administrative/office management roleMust have exceptional attention to detailStrong organizational and time management skills, and ability to prioritizeMust be a self-starter and driven; home-office based positionMust be able to work each day of the week during business hours up to the number of hours required and agreed;Excellent communication and interpersonal skillsStrong problem-solving skills and analytical abilitiesMust be proficient with Quickbooks Online and Copper CRMWilling and able to grow with the company in hours and responsibilitiesCompensation:$30 per hour, 10 hours per week to start (2 hours each day, M-F);Maintain a bi-weekly work report with tasks performed rounded to one half hourHours worked paid on the 16th of each month by checkEquity participation available in ESOP after five years of serviceJob Types: Part-time, ContractPay: $25.00 – $35.00 per hourBenefits:Flexible scheduleSchedule:Monday to FridayExperience:Quickbooks Online Bookkeeping: 5 years (Required)Work Location: One location
