Position : Deputy City Secretary
Job Description : Summary
Schedules appointments, gives information to callers, and otherwise relieves officials of clerical work and minor administrative and business detail by performing the following duties
Essential Duties and Responsibilities
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Assist the City Secretary in preparing minutes of meetings, preservation of
permanent records, including annual records destruction, conducting city
elections and answering citizen inquiries.
Assist in the preparation and distribution of agendas; print minutes in
Minute Books after approval; type proclamations, resolutions, and letters;
call council members to remind of meetings.
Prepare approved City Council ordinances, and resolutions for the
Mayor’s signature; print for Ordinance or Resolution Books and maintain
index.
Perform various administrative and clerical activities for City Secretary
including preparing purchase orders, paying bills, and reconciling credit
card accounts.
Sort and process incoming and outgoing mail, copy and filing various
memorandums and documents; answer telephone and assist the public
with questions.
Maintains log of Public Information requests and coordinates responses to
the requests at the direction of the City Secretary.
Prepare notifications for beer/wine permits.
May attend various meetings in the absence of the City Secretary.
Composes and types routine correspondence.
Organizes and maintains file system, and files correspondence and other records.
Answers and screens telephone calls, and arranges conference calls.
Coordinates schedule and makes appointments.
Greets scheduled visitors and conducts to appropriate area or person.
Arranges and coordinates travel schedules and reservations.
Conducts research, and compiles and types statistical reports.
Makes copies of correspondence or other printed materials.
Orders and maintains supplies, and arranges for equipment maintenance.
Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Computer Skills
To perform this job successfully, an individual should have knowledge of Excel Spreadsheet software and Microsoft Word and Adobe Acrobat Word Processing software.
Supervisory Responsibilities
This position supervises one administrative staff person.
Education and/or Experience
Education and/or Experience
Associate’s degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
Certificates, Licenses, Registrations
Valid Class C Driver’s License
