Position : DSS Specialist I-Front End Operations-Albemarle
Job Description : Performs a wide variety of specialized and/or difficult clerical and administrative duties in an inclusive team environment. Position may be embedded within the work unit and perform duties that are necessary to achieve work process, Work requires extensive knowledge of department, division, or unit policies, procedures, and services and ability to communicate these to others. Tasks may require the ability to plan and carry out assignments. Does related work as required. Work often involves providing assistance to temporary help. Work is performed under regular supervision.
Collects information; responsible for a variety of routine administrative assignments.
Prepares, processes, prints and distributes a variety of documents that may include highly confidential and time sensitive information, such as case-related information in child and adult protection, foster care, adoption, adult, family and children’s benefits, etc.
Answers routine correspondence for supervisor.
May code invoices and process expense forms for payment.
May collect and enter unit/department-related information into the database. Maintains database and keeps information current.
Schedules meetings and appointments and administers calendar.
Meets/greets/screens customers/visitors. Answers questions and provides information.
May have responsibility for tracking attendance and processing payroll-related documents.
Establishes and maintains files.
Operates a variety of office machines; may maintain inventory of materials, supplies, and/or equipment. May serve as a first contact for office equipment maintenance.
Answers unit/department phones, takes messages and provides responses.
Receives, opens, and sorts mail. Receives, signs for and distributes packages. Assists with bulk mailings.
Provides back-up for department administrative staff. Provides assistance as required to senior-level administrative staff.
May serve on special and/or regular teams and committees.
Responsibility may include providing occasional direction to temporary staff.
Minimum Qualifications
High school diploma supplemented with related clerical or administrative experience OR any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
Thorough knowledge of standard office practices, procedures, equipment, and clerical techniques. Ability to make difficult arithmetic calculations, set up complex forms and statistical tables. Ability to type and transcribe accurately. Knowledge of business English and spelling. Ability to establish and maintain effective working relationships with employees and the general public. Basic to Intermediate level proficiency in office-related software. Intermediate level proficiency in County or Department-specific databases (e.g.SASI). Office equipment used includes computer, copier, postage meter, Fax, printer, multiple-line phone, paper folder, laminator, projector, and scanner.
Workers in this position are required to drive and they must meet eligibility requirements of the County’s safe driver policy.
Preferred Qualifications
Customer Service Experience
Experience dealing with confidential & time sensitive information
Two year Associates degree or higher education
Local DSS experience
Clerical level VaCMS experience
Written or oral proficiency in another language (in addition to English)
Special Requirements
This position is required to drive and the applicant must meet the eligibility requirements of the County’s safe driver policy. The candidate must be willing to travel occasionally overnight.
The candidate must possess a valid driver’s permit issued by the Commonwealth of Virginia.
Applicants may be subject to a Criminal History background search, Central Registry search, DMV/Driving record check, and/or pre-employment drug screen.
All offers of employment are contingent upon satisfactory results of the required checks and screenings.
Employee must be willing to work in the community emergency shelter in the event of a natural disaster or emergency.
