Over the last several years we have expanded our market share in Texas and have added several high-demand client relationships.Position Summary: We are in search of an Executive Administrative Assistant to perform a variety of administrative tasks and support our company’s Sr. Management Team. This role will be supporting our Sr. Management Team. Under minimal supervision and acting on own initiative, performs advanced administrative support. Assignments typically involve work of a confidential nature and require extensive knowledge of department, business unit and company practices, policies, programs and services.To be successful in this role, you should:· be well-organized· have great time management skills· be able to act without guidance· be able to assemble and analyzes information, prepares reports, manuals, agendas, correspondences and memorandum.· Be able to coordinates activities across departments.Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to our team.Responsibilities: Duties include, but may not limited to:· Act as the administrative point of contact between our Sr. Management Team and internal/external clients.· Handle executive requests and queries efficiently and appropriately.· Balance conflicting priorities in order to manage workflow, ensure the completion of essential projects, and meet critical deadlines.· Maintain schedule, including day-to-day and long-term management of meetings, projects, and priorities.· Schedule meetings and travel, including prioritizing meetings and communicating all relevant details to participants.· Handle phone, email and postal mail inquiries and route/respond appropriately.· Draft and edit correspondence, articles, reports and presentations; transcribe meeting notes.· Coordinate and manage special projects, including working collaboratively with staff to ensure projects meet deadlines.· Work as a member of the team, willingly providing back-up support for co-workers when appropriate.Qualifications and Skills: · Bachelors’ degree or equivalent· 5+ years’ recent experience working with or supporting a senior executives/management, or equivalent experience· Proven ability to succeed in a demanding, fast-paced environment, maintaining a strong sense of urgency· Effective organizational skills with focus on confidentiality, accuracy and attention to detail· Excellent verbal and written communication skills· Ability to anticipate and proactively resolve potential issues, demonstrating sound judgement / decision-making· Demonstrates a positive attitude, resourcefulness and maintains composure in high pressure situations· Proficient in Microsoft Office products – Outlook, Word, Excel, PowerPoint, etc.· Advanced Microsoft skills working with Excel· Excellent verbal and written communications skills· Friendly and professional demeanor· Must be able to pass full background check & pre-employment screening.· Candidate must successfully pass a criminal background check in order to be considered.· This would require the ability to lift office equipment, mail packages, drive and bend or stand as necessary.Benefits: · Competitive compensation and bonus opportunities· Vacation and Holidays· Health, dental, vision, life insurance coverage· Professional development· Tuition reimbursement· Satisfaction of helping others grow and learn· Opportunity to work with a really exciting, fun team and roll out new projectsEEO StatementWe are committed to providing equal employment opportunities to all persons regardless of race, color, ancestry, citizenship, national origin, religion, veteran status, disability, genetic characteristic or information, age, gender, sexual orientation, gender identity, marital status, family status, pregnancy, or other legally protected status (collectively, “protected statuses”).
