Position : Executive Assistant
Job Description : An industry leader in the design and development of trend-setting apartment homes for over 50 years is looking for an Executive Assistant to support two senior executives in the company: the CIO and CFO. These two executives support the business portfolio and are tasked with strategically and operationally growing the business.Essential job functions of the job include, but are not limited to, the following:Provide administrative support to the CIO and CFO including compilation of memo’s, faxes, e-mail and other correspondence, filing, and creating organizational systems.Coordinate and handle travel arrangementsMaintain calendars for both the CIO and CFOCoordinate special events/company meetings.Develop basic to intermediate Excel spreadsheets.Compile, organize and bind various financial packages for distribution to clients and lenders, etc.Manage the coordination of due diligence in preparation of equity and debt transaction closingsBe responsible for the coordination of sensitive partnership documents related to real estate transactions.Provide administrative support to other Departments as assigned.Provide reception relief in accordance with monthly schedule.Qualifications:Real Estate or Finance background a plusWorking in any fast paced, high energy environment that requires someone multi-tasking, without needing very much direct supervision or management with excellent interpersonal skills and can demonstrate grace under pressure.3-5 years of experience as an Executive AssistantDemonstrates capacity to provide comprehensive support for executive-level stuff: excel at scheduling meetings, coordinating events, manage essential task; controls accounts payable.Schedule meetings and appointments and manage travel itinerariesAssist with preparing presentationsArrange corporate events to take place outside of the work place, such as conferences, company sponsored events, organization activities/eventsMaintain an organized filing system of paper and electronic documentsDevelop and maintaining administrative processes that reduce redundancy, improve accuracy and efficiency, and achieve organizational objectives.Exposed to sensitive information in which employee is expected to keep confidentialSkills:Managing the day-to-day operations of the officeOrganizing and maintaining files and recordsPlanning and scheduling meetings and appointmentsManaging projects and conducting researchPreparing and editing correspondence, reports, and presentationsProviding quality customer serviceWorking in a professional environmentJob Type: Full-timeBenefits:401(k)401(k) matchingDental insuranceEmployee assistance programEmployee discountHealth insuranceHealth savings accountLife insurancePaid time offParental leaveProfessional development assistanceReferral programTuition reimbursementVision insuranceSchedule:Monday to FridaySupplemental Pay:Bonus payAbility to commute/relocate:Boca Raton, FL 33432: Reliably commute or planning to relocate before starting work (Preferred)Education:Bachelor’s (Preferred)Experience:Executive Assistant: 3 years (Preferred)Microsoft Office: 3 years (Preferred)Work Location: One location
