Job Description : Job Summary: Executive Assistant to work in the Fundraising and Investor Relations team for a $8 billion AUM private equity firm that is privately owned. Position is in the New York office located at 555 Madison Avenue.Hybrid role for the foreseeable future. Positive energy and low drama environment.Duties/ResponsibilitiesDirectly responsible for supporting the Global Head of Capital Markets and one to two other fundraising team members in the New York office.Responsible for calendar management in Outlook, requiring interaction with both internal and external executives and assistants globally, to coordinate a variety of complex meetings with attention to different time zonesCorrespond with investors by phone and email and assist in document preparation for meetings.Attention to detail and a critical eye are required to review formatting, proofing, etc.Organize heavy travel arrangements as required and update executives’ calendar with detailsUtilize analytical skills and have a broad understanding of the business to effectively interpret and anticipate the needs of the executives and proactively bring together appropriate people and resources to support the executives.Occasionally be available by phone/email outside of normal work hours, particularly when Global Head is travelingGeneral administrative duties (expense management, PDFing documents, sales CRM database upkeep, etc.) and light personal assistance to Global Head of Capital MarketsPerform special projects as neededRequired SkillsMust be detail oriented, proactive and can work independentlyThe ability to interact with staff (at all levels) remaining positive, flexible, resourceful, and efficient, with a high level of professionalism is crucial to this roleAbility to balance conflicting priorities to manage workflow and serve as a central source of information for the entire fundraising teamDemonstrate an awareness of the fundamental business principles as well as an understanding of the overall firm to ensure appropriate decision-making protocols are followedAble to prioritize emails and tasks.
