Job Description : Receptionist/ legal assistant : The selected candidate must be able to successfully fulfill the following job responsibilities: Answering a multi-line phone system, take notes and/or messages and redirect calls to the appropriate individuals;Greet and assist clients and visitors;Provide excellent customer service to clients and potential clients via email and phoneMaintain the waiting area, conference rooms, and other public areas;Sort and scan incoming mail;Basic office duties such as, filing, scanning, faxing, etc.; andPerform routine clerical duties and other miscellaneous legal duties as assigned.· Prepare documents and packages for mail, messenger and overnight delivery. Regular mail, certified mail, Fedex, UPS, etc.· Review all incoming mail, scan and email a copy to attorneys and staff. Distribute to attorneys as needed.Legal administrative assistant:Ability to follow documented processes and procedures to assist attorneys with pre-trial case management for high-volume caseloadsProvide excellent customer service and communicate with clients throughout all stages of their caseDocument, in detail and with accuracy, all information in our case management software database – Add more to this – a lot on saving emails and attachments in Netdocuments· Verify all attachments, exhibits and enclosures are included with transmittal letters/memos.· Proofread documents and check for appropriate formatting, spelling and grammar.· Input, revise, and finalize correspondence, memoranda and other legal documents. Draft routine correspondence, memoranda and other documents.Qualifications Superior organizational skills and attention to detail; andProfessional appearance and demeanor.Ability to prioritize, multitask and problem solveA high level of professionalism and a strong work ethicExcellent written and verbal communicationAccountability while being highly detail-oriented and organized· The ability to organize, prioritize and meet the demands off multiple attorney assignments.· Proficiency in all MS Office applicationsCommitment to superior client service, high level of responsiveness and team work.Ability to thrive in a team environmentHigh degree of proficiency with Microsoft programs (Word, Outlook, Excel).Handle sensitive and confidential information and ensures that day-to-day support for team runs ‎smoothly and effectively.‎Exhibit strong communication skills, both written and verbal. ‎Operate standard office equipment such as computers, photocopiers, calculators, and uses ‎required software applications to effectively perform job duties. Scans and cleans up ‎documents utilizing scan software.
