We work Monday through Thursday from 9 am to 6 PM and from 9 AM to 1 PM on Friday.JOB SUMMARYThe primary function of this position is to assist the office through administrative, clerical & secretarial tasks as well as perform basic-bookkeeping & accounting duties. You will be expected to serve as the company’s primary administrative assistant: working closely with the other members of the team. You will also be expected to coordinate & manage schedules, gather & research materials, as well as interface with customers and clients. Additionally, the position requires you to assist and/or lead, special and ad-hoc accounting/bookkeeping projects of moderate complexity.The position requires a positive, tactful and receptive demeanor. You will need to be organized, self-motivated and have a strong attention to detail. A professional presence, reliable accounting/bookkeeping and communication skills, as well as the ability to operate both independently and in close coordination with others, is also required to be successful in this position.ESSENTIAL DUTIES AND RESPONSIBILITIESAccesses, inputs and retrieves information from computer.Acts as custodian of documents and records.Answers the telephone and gives information to callers or routes call to appropriate staff member; places outgoing calls.Attends the workplace regularly, reports to work punctually and follows a work schedule to keep up with the demands of the worksite.Completes duties and responsibilities in compliance with company standards, policies and guidelines.Composes and types routine correspondence and prepares materials such as agendas, notices, invitations, announcements, programs, etc.Composes notices, minutes, and resolutions.Contributes to team effort by accomplishing related tasks as needed.Enters data, maintains records and reports as well as create financial statementsExercises good judgement, initiative and professionalism.Files correspondence, documents and other records.Fosters successful relationships through direct interaction with peers and others.Greets visitors, ascertains nature of business, and directs visitors to appropriate person.Handles sensitive and extensive confidential information.Issues invoices to customers & clientsMaintains an orderly accounting filing systemMaintains and refines a reliable chart of accounts;Maintains historical records by filing documents.Partners with managers to build collaborative working environmentsPerforms other duties as assigned.Prepares memorandums, notices and announcements for clients and vendors.Prepares outgoing mail.Processes accounts receivable/payableProcesses a variety of documents, forms and files.Produces information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics.Provides clerical and administrative support to management as neededRecords day to day financial transactions and complete the posting processRequires intermediate level computer and Internet research skillsSchedules appointments and makes changes to calendar as necessary.Schedules appointments, gives information to callers, takes dictation, composes and types correspondence, reads and routes incoming mail, and performs other administrative and clerical duties.Schedules room reservations, meetings and records meeting minutes and makes copies of correspondence or other printed materials.The ability to work well with all levels of management, staff, clients, and vendors.Verifies transactions are recorded correctlyWorks with word processing, spreadsheet and database software to complete administrative tasks.REQUIRED EDUCATION AND EXPERIENCE Associate’s degree or 60 college hours from a regionally accredited college or university.Proficient with word processing, spreadsheet and data base software.Ability to handle a large variety of details and to work with all levels of an organization.Ability to handle sensitive and extensive confidential data.Excellent customer service skills and interpersonal skills.Excellent oral and written communication skills.Proficiency with use of e-mail, word processing, spreadsheet, database, and presentation software and use of the Internet.Ability to juggle many tasks at once, operate under urgent time constraints at times and able to prioritize and reprioritize tasks continuously.PREFERRED EDUCATION AND EXPERIENCE Three (3) to five (5) years of progressive office experience as an administrative assistant or equivalent.
