Job Description : Performs a variety of routine and complex clerical and administrative work in keeping official records, transcription, and providing administrative support to the Bryan Police Department.Scope of JobWithin defined guidelines, performs a variety of clerical or administrative responsibilities, occasionally complex or confidential in nature, relating to: preparing correspondence; organizing and filing documents for easy retrieval; providing vendors, clients, and work associates with information; answering routine questions about the nature of the work; preparing charts, graphs, or spreadsheets from data provided; setting up meetings; making travel arrangements, etc.Essential Job Functions- Performs routine clerical and administrative work in answering phones, providing customer assistance, cashiering, data processing, and bookkeeping.Answers in-coming calls and routes callers or provides information as required.Responds to inquiries from employees, citizens and others and refers, when necessary, to appropriate persons.Serves as cashier including receipt of payments and posting monies to appropriate accounts.Composes, types, and edits a variety of correspondence, reports, memoranda, and other material requiring judgment as to content, accuracy, and completeness.Inputs data into computer from departmental forms; makes postings to various reports; and compiles tabulated data.Maintains photo database.Accurately transcribes audio recordings.Performs related duties as required.Responds regularly and promptly to work.Minimum Education & Experience- High School Diploma or GED, plus some additional training and/or course work in business, public, or office administration.At least one (1) year of work experience performing public safety, administrative, clerical, accounting/bookkeeping, records management, call center, or similar responsibilities.Equivalent combinations of education, experience, certification, and training may be considered.Knowledge, Skills & AbilitiesKnowledge of:Modern office methods, practices, and equipment.Principles and practices of record keeping.Proper English usage, spelling, grammar, and punctuation.Ability to:Perform administrative work involving the use of independent judgment and personal initiative.Learn department functions thoroughly in order to provide general information and explain detailed department processes and procedures.Learn to operate specialized automated law enforcement information systems including public safety computer systems to access and maintain data.Type and accurately enter data at a speed necessary for successful job performance.Work under steady pressure with frequent interruptions and a high degree of public contact by phone or in person.Organize workload; establish priorities; and meet established deadlines.Maintain a high level of integrity and discretion in handling confidential information.Prepare clear and concise written correspondence, reports, and other materials requiring independent judgment as to content, accuracy, and completeness.Maintain important records efficiently and accurately.Multitask with numerous and frequent interruptions.Maintain a high level of attention to detail over extended periods of time.Use patience, tact, and courtesy in dealing with the public.Demonstrate satisfactory work performance and attendance.Comply with all City and departmental administrative directives, policies, and procedures.Provide management with sound, positive advice, and information concerning the incumbent’s area of responsibility.Establish and maintain cooperative working relationships with those contacted in the course of work and communicate effectively with the public and other required entities.Skills:Advanced skills in operating office equipment and machinery.Strong verbal and written communications skills.Strong public contact and customer service skills.Bilingual skills (Spanish/English) are a plus.Special Requirements, Licenses and CertificationsNone required.Physical DemandsPhysical demands include but are not limited to: sitting, talking, hearing, seeing, standing, walking, reaching, bending, using hands and fingers to operate office equipment and machines, and occasionally lifting and/or moving objects up to and including 25 pounds.Working ConditionsWork is performed primarily in an office setting or well-lighted and temperature-controlled working environment.EquipmentWork shall be performed with tools, appliances, and equipment approved by those agencies and bodies that have control, authority, or approval of the design working ranges or limitations of those items; the employee has the responsibility to conform to those ranges and limitations.Equipment may include but is not limited to: multi-line telephone, computer, printer, fax, copier, scanner, and calculator.Special Notes for ApplicantsThis job description is not intended to be construed as an exhaustive list of responsibilities, duties, and skills required.
