Job Description : HVAC Service Dispatcher HVAC Dispatch Coordinator Job Description Reports to: Service/Controls Office Supervisor Department: Service / ControlsClassification: Non-Exempt Date: 10/15/2021Work Location: Intech Mechanical Service OfficeMission: To support the goals of Intech Mechanical Service OperationsJOB SUMMARY Intech continues to grow and we are adding a second Dispatcher. The HVAC/R Service Dispatcher will maintain Service Technicians daily schedules and dispatch the technicians for PM’s and service calls as needed. Follow-up with technicians and customers to ensure completion and/or schedule follow-up visit. Maintain customer database with current information. Provide clear and concise communication with department managers, employees, and customers, including keeping customers appraised as to company schedule and requested lead-times. NOTE: Remotely working from home is not available for this job positionESSENTIAL DUTIES AND RESPONSIBILITIES 1. Schedule & create work orders for preventative maintenance.2. Schedule & create work orders for service repairs & projects.3. Drive PM completions to improve Intech PM Compliance4. Dispatch and manage the workload of assigned technicians.5. Utilize and maximize Service Software (Viewpoint and S2000)6. Receive and respond to all client inquiries.7. Monitor customer issues to ensure problems are resolved in a timely manner with best solution possible.8. Complete daily time reports for all technicians, verifying hours and expenses.9. Provide support to other Service Team members to ensure optimum customer support / service.KEY PERFORMANCE INDICATORS 1. All Service Calls are answered and scheduled within one hour of receipt.2. Calls are returned to clients within 30 minutes of receipt.3. Dispatch schedule is out to the field by 3:00 each day.4. Scheduling and directing technicians are logistically maximized.5. PM Compliance – 90% of PM’s are performed and completed in their scheduled month.COMPETENCIES: 1. Ethics and trust a. Communicates in a truthful, open, and honest manner always. b. Effectively uses the organizational structure, as well as own knowledge and experience to solve business problems.QUALIFICATIONS: 1. 1-3 years HVAC service dispatching and accounts receivable experience2. Strong communication and organizational skills3. Ability to work as part of the service team.4. Be dependable and have the availability to work scheduled hours each day in the office.5. Knowledge of office administration and procedures a plus6. Proficient in Microsoft Office, word, excel and outlook.SAFETY 1.
