Diagnostic Laboratory Services, Inc. (DLS) is Hawaii’s largest locally owned and operated medical testing laboratory. DLS is considered a leader in the Hawaii, Guam and Saipan communities we serve. As an integral part of the patient care team, DLS uses state of the art testing and value-based informatics to promote optimal patient care and positively impact patient outcomes.
SCHEDULE
Temporary Call-In
Must be available Monday to Friday from 8:00 am to 4:30 pm, 6 hours a day for 3 days per week OR 8 hours a day for 2 days per week.
Must be flexible with schedule changes to meet operational needs.
JOB SUMMARY
Under the general supervision of the Purchasing Senior, performs a variety of duties relating to the verification, receiving, and shipping of materials and supplies. Is a liaison between the clients and DLS and primary responsibility is to accurately and expeditiously fulfill all supply requests. Duties include, but are not limited to, receiving and processing of supply request orders, receiving materials/supplies/equipment, performing inventory, maintaining stockroom, and delivering materials/supplies to various departments.
RESPONSIBILITIES AND DUTIES
Processing Client Supplies. (55%) *
Assists clients with determining appropriate supply needs.
Based on client’s ordering patterns/needs, uses discretion/judgement to determine whether or not to fill the order as requested.
Uses discretion in identifying when Marketing department may need to be informed of a client’s unusual ordering habits.
Documents receipt of inbound client orders.
Files orders into appropriate pick bin.
Enters client requests into Peoplesoft materials management system and ensures that the requested amounts are consistent with the established inventory levels per client.
Enters client requests into the Laboratory information system.
Prints delivery labels when required for shipments.
Prints requested requisitions.
Determines the form type and queues appropriate printer.
Reviews printer forms.
Correctly separates forms by client and ensures that the forms are neatly printed, legible and that the data is properly aligned.
Bursts continuous feed forms.
Notifies Marketing with client concerns, as needed.
Completes order documentation.
Picks and properly packages client orders.
Adjusts order amounts and notates items packed.
Completes documentation and labeling and indicates the date/time/initial when completed.
Assists with filing client orders and matching entry receipts.
Receives materials, supplies and equipment. (15%) *
Accepts deliveries from vendors and third party shippers.
Rejects shipments when appropriate.
Follows receiving processes and procedures to ensure proper receipt of ordered goods.
Notifies buyer of shipping errors.
Performs system Return-to-Vendor (RTV) and follows up accordingly.
Properly disposes of damaged/defective goods.
Prioritizes unpacking by temperature sensitivity and safety precautions.
Handles hazardous items following all applicable policies and procedures.
Assists with pre-tagging inbound stock for inventory and all Halawa departments.
Documents lots/expirations dates on the warehouse logs by shipment.
Document issue dates for new lots.
Follows criteria necessary for micro media quality control
Blood culture quality control data
Sends Myco F to the departments for quality control prior to releasing it for use.
Sends CO2 GASPAK to the departments for quality control prior to releasing it for use.
Properly documents delivery to departments and temperature storage for department deliveries.
Enters receiving data into materials management system.
Adjusts receiving data when necessary
Ships materials, supplies and equipment. (10%) *
Prepares orders by using his/her judgement to determine the best packaging options for shipments via ground or air transportation taking the following into consideration:
Fragile, liquid, temperature sensitive items.
Dry ice limitations per IATA requirements.
Alcohol based solution per IATA requirements.
Orientation arrows for items which must remain upright.
Non-shippable items which may include formalin, flammable and caustic chemicals.
Proper weight limits.
Determines carrier and priority type for shipments (United States Postal Service priority vs United States Postal Service express, Federal Express overnight vs 2nd day shipping, Air Cargo).
Prepares and delivers shipments to designated pickup location to meet carrier timetables and considers the following:
Logistics Department’s daily delivery schedule for Oahu.
Logistics Department’s delivery of Air Cargo parcels.
Follows up with department/sender as needed regarding specifications, quality, quantity and delivery requirements.
Prepares proper documents for all shipments, including but not limited to:
US postal priority
Federal Express
US Postal Customs Form
Customs letters as required
Shippers invoices
Insurance forms
Delivers materials, supplies and equipment to all departments at Halawa, with attention to temperature and/or time-sensitive materials. (10%) *
Properly notifies end users of frozen/refrigerated items and proficiency studies.
Obtains signature for College of Pathologists (CAP) items
Adjusts delivery notification tags where appropriate for departments
Maintains the stockroom and ensures proper storage of materials and supplies. (10%) *
Ensures proper inventory levels are maintained.
Assembles collection kits as necessary i.e.flu, bordetella, Occult Blood, urorisk etc.
Identifies low stock levels and notifies management as necessary.
Inventory is consolidated by item and storage shelves are neatly arranged.
Items with short date as distributed first and inventory is rotated as needed.
Performs periodic physical inventory.
Validates on hand quantity to system stated quantity
Annual year end
Communicates with departments when their warehouse stored items have inventory level concerns.
Assists with maintaining appropriate levels of automation line accessories such as, but not limited to aliquot tips, assay tips, sample cups, archiving caps, etc.
Restocks paper for core lab and core admin areas
Monitors and records room temperature and appropriately follows protocol for out of range incidents.

Work environment includes conditions common to a laboratory, including working around or indirectly with bio-hazardous materials, and potentially hazardous chemicals.Generally works an indoor, well lighted air-conditioned office/laboratory setting with adequate ventilation.Occasionally performs work in a walk-in refrigerator for up to 15 minutes at a time.Occasionally performs work outdoors.
QUALIFICATIONS
Education/Experience:
High school diploma or equivalent required.One year of work experience providing customer service required.Experience in inventory practices and systems preferred.
Skills:
Ability to communicate effectively in English both in verbal and written form.Ability to work effectively both independently and with a team.Excellent customer service skills.Ability to accurately identify numbers and names.Working knowledge of personal computers and business related software, such as Windows, Word and Excel, preferred.
Temporary Call-In Position (up to 19 hours per week)
Must be available Wednesday through Friday from 9:00 am – 3:00 pm
Must be flexible with schedule changes to meet operational needs.
