The UW Travel Office, a division of Financial Management, is seeking a Computer Services Consultant. The mission of the UW Travel Office is to provide training, guidance, and facilitate travel reimbursements while completing a risk based analysis. We address areas of concern based on State and UW travel policies while effectively communicating with our process partners to ensure timely and accurate travel reimbursement.

Responsibilities:

The Computer Services Consultant is the main point of contact within the Central Travel Office for departments (campuses, medical centers, research centers, etc.) and requires a high level of customer service and interpersonal skills as well as extensive knowledge of University of Washington and State of Washington travel policies.

This position will respond to all incoming requests for assistance. This may include, but is not limited to, assistance with on-line, web-based travel applications interpretation of federal, state and all applicable regulations. The Computer Services Consultant serves as a resource for departmental travel and budget coordinators with regard to policies and regulations which may include training and monitoring to ensure compliance.

The Computer Services Consultant will develop training sessions regarding the use of all online, web-based travel applications. The Computer Services Consultant will also maintain and prepare management reports and track trends. This position is part of the Travel Service Center which provides customer support for the Ariba expense report system.

Typical Responsibilities and Duties:

Respond to phone calls, emails, correspondences, and other requests for client services using high level customer service skills. This will require clear explanations of process, instruction for completing technical expense reports, applying and communicating policies;

Audit expense vouchers for compliance; determine is policies and procedures were applied correctly by the department and/or traveler;

With the assistance of the manager, evaluate policy changes and the impact the change will have on the University of Washington travel program;

Coordinate the Per Diem Advance program;

Assist in maintaining the Central Office website which includes developing content;

Provide hands on training and presentations to departments and employees through one-on-one sessions, group sessions, and/or open forums. This includes assessing training needs, creating and adjusting training and presentation materials and scheduling sessions;

Compose email messages for global distribution to campus travel coordinators regarding changes in policy/procedure, general announcements and urgent notifications of system problems;

Coordinate and monitor problem resolution. This can involve working with specialists within travel and external units such Procurement Services, Records Management and UW IT Services;

Advise and educate staff, faculty, and/or students regarding travel policies, procedures, and or activities to ensure compliance with University and state/federal policies, rules and regulations;

Active participation in the Financial Management LEAN program and participation on LEAN teams;

As needed, support the duties within the Travel Office to meet deadlines.

Requirements:

Two years of college coursework in computer science or a related field AND two years of experience in design, development, or maintenance and support of software systems OR a Bachelor’s Degree in a job related area OR equivalent education/experience.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Essential Skills and Abilities:

Exceptional customer service skills to respond to phone calls, emails, correspondence and other request for client service.

Exceptional analytical and problem-solving skills to implement solutions to incoming customer requests for assistance in a timely manner.

Ability to design and conduct presentations to large and small groups in both formal and informal settings.

Ability to explain complex rules and procedures in a clear, courteous manner to a high client contact area and in a high-pressure environment.

Possess the ability to perform multiple tasks, prioritize, organize, analyze and complete incoming projects in a timely manner (i.e. determine the urgency of customer requests; assess and utilize available resources required to resolve requests; follow up and follow through on each request).

Able to travel to various UW locations for application support services requiring on-site and off-campus visits. A significant portion of time will be spent at campus user locations providing hands on, one-on-one training and assistance.

Working knowledge of Microsoft Excel, Word, and Outlook.

Work effectively and efficiently with minimal supervision in a fast paced, high volume environment.

Desired:

Knowledge of the University of Washington financial system (FAS and MyFD).

Experience processing travel reimbursements using eTravel system.

Knowledge of University of Washington and state/federal travel policies.

Ability to train and present training materials to all levels of an organization.

Knowledge or experience with LEAN or process improvement.
