Best part is you will be the lifeline to making a massive impact across the company!Essential Duties & ResponsibilitiesSynchronize Board and/or committee schedules with other executives and EAs; planning and implementing Board meetings and retreats.Develop plans and arrangements for regularly scheduled meetings, including preparation, processing and distribution of materials, and planning for meeting schedules, rooms, catering, and recording minutes.Make independent and concise decisions required to perform executive office administrative activities imperative to finding answers/making referrals in response to inquiries from patients, physicians, the public, or other staff members.Process confidential reports, correspondence, minutes, and other documentation related to medical and/or management materials.Facilitating day-to-day operations for the executive; managing an extremely active calendar of appointments and composing correspondence; opening and organizing mail, sorting and drafting responses, taking messages, and maintaining files and records.Arrange meetings and conferences by for preparing, processing and distributing materials.Make arrangements for all travel plans and prepare itineraries for each trip.Establish, develop, and update filing systems for the executive and board meeting minutes and corporate records using the appropriate platform/software.Skills & QualificationsExtensive knowledge of administrative duties with highly effective written and verbal communication skillsStrong understanding of executive level office procedures with a high level of proficiency using Microsoft Office programs and Adobe AcrobatOutstanding interpersonal skills to handle extensive public relations contact, the ability to build relationships with stakeholders and a high level of integrity and discretion to handle sensitive and confidential situationsAnalytical ability is required in order to gather and summarize data for reports, ability to visually display quantitative information, find solutions to various administrative problems, and prioritize workProven proactive approach to problem-solving with strong decision making capabilities and forward thinking solutionsCritical thinking, organizational, and continual attention to detail skills; experience scheduling the executive’s calendar, composing and proofing materials, establishing priorities, and meeting deadlines are highly soughtStrong work tenure with 5-7 years of experience supporting senior management or executives at a C suite levelBachelor’s degree preferredParker Staffing offers all levels of Administrative, Customer Service, Call Center, Sales, and Human Resources job opportunities in the Seattle and Bellevue metro area and other large cities throughout the Nation.
