Job Description : Overview:

The Office Services Associate is responsible for a broad range of office service operation tasks such as scanning, supply ordering/maintenance, moving office equipment and furniture, answering phones and performing reception duties.

The AAA currently requires all of its employees who work on-site to either submit proof of vaccination, or provide proof weekly of a negative COVID-19 test. Additionally, a New York City Commissioner of Health and Mental Hygiene Order stipulates that workers in New York City who perform in-person work must show proof of vaccination, and the AAA is required to comply with this order. Responsibilities:
Tracks and maintains computer and manual data; performs routine office and computer work (e.g. scanning, awards processing, filing records and cases).
Maintains assigned pantry rooms (e.g. attending to coffee/water machine issues, ensuring available pantry room supplies, some routine cleaning, etc.).
Manages office supply maintenance (i.e. receives/processes requests for supplies to be ordered by supervisor; distributes, monitors, and ensures appropriate inventory and office and pantry supply levels).
Carries out message delivery/errands and mail processing activities (sends, receives, distributes, and tracks all classes of incoming, outgoing, interoffice mail and parcels).
Ensures appropriate and timely response to both internal and external customer service requests; addresses client issues and escalates them to supervisor as necessary.
Establishes and maintains a professional rapport with the user community, stakeholders, and internal associates; responds to inquiries in a timely manner; anticipates, troubleshoots and resolves problems by weighing the importance of facts and issues in a manner that fosters resolution and efficient management of cases; ensures that unresolved and complex issues are escalated to the appropriate supervisor.
Articulates and demonstrates a basic knowledge of arbitration sections of NYS Regulation 68 and NYS Regulation 35D related to NYSI Division’s operations and tasks specific to their roles and departments; Addresses basic inquiries from parties and properly directs complex inquiries to the appropriate departments; Demonstrates knowledge of NYS insurance forms and/or related documents related to NYS Regulation 68 and/or NYS Regulation 35D and NYSI division procedures.
Attends on-site and virtual meetings and training events.
Qualifications:

Education & Experience: High School Diploma; 1-3 year of experience in a customer service oriented mail services or office support role; or an equivalent mix of education and experience.
Technology Requirements: Basic knowledge of Outlook, MS Word, Excel, basic keyboarding skills and must be able to learn and use other computer applications/systems.
