The firms’ primary goal as a trusted advisor is to be available and to provide competent and insightful advice to enable our clients to make informed financial decisions and we are currently seeking an energetic, enthusiastic and motivated person with strong organizational skills and the ability to work in a time sensitive and detail-oriented environment with minimal supervision as an Administrative Assistant.Administrative Assistant duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supports the office through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field’s concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.Responsibilities: · Answer and direct phone calls· Organize and schedule meetings and appointments· Maintain client portal contact information· Distribute correspondence memos, letters, faxes and forms· Assist in maintaining the filing system· Provide general support to visitors· Provide information by answering questions and requests· Interface with Clients to help guide them through the Representation process· Process IRS forms and write letters as required on a case by base basisManage deadlines as required by the IRS guidelines on a case by case basis· Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies· Contribute to team effort by accomplishing related results as needed· Carry out administrative duties such as filing, typing, copying, binding, scanning etc.· Handle sensitive information in a confidential manner· Take accurate minutes of meetings· Coordinate office procedures· Reply to email, telephone or face to face enquiries· Resolve administrative problems· Receive, sort and distribute the mail· Answer telephone calls and pass them on· Manage staff appointments· Greet and assist visitors to the office· Photocopy and print out documents for tax return packagingRequirements: · Proven admin or assistant experience in a high energy – fast paced environment· Knowledge of office management systems and procedures· Excellent time management skills and ability to multi-task and prioritize work· Attention to detail and problem solving skills· Excellent written and verbal communication skills· Strong organizational and planning skills· Proficient in MS Office· Experience with Intuit QuickBooks· Must have a “Take Charge and Go-Getter” attitude· This position requires a high school diploma or equivalent, with at least five years of experience in an office or administrative support position.
