Essential Duties and Responsibilities
To perform this job successfully, an individual must be able to satisfactorily perform each essential duty listed below. Coordinates the activities that primarily support the management of the youth programs funded by the Court. Maintains data tracking systems specific to court program referrals. Assists in the communication flow among Court contracted service providers and Court personnel. Assists in resolution and problem solving with programmatic issues that effect contract compliance and service delivery.
Processes all program referrals and enters termination reports in accordance with appropriate procedures. Assists in reconciliation of Program Referrals with vendor invoices including, but not limited to, required data collection. Assists in communication with Court staff and service providers to ensure appropriate utilization of community-based services.
Reviews invoices for the purposes of quality assurance of programmatic monitoring. Assists in resolution of program issues related to these contracts. May also be assigned additional contracted programs for contract monitoring and contract compliance.
Assists in problem-solving referral issues and/or service provision issues with service providers and Court staff.
Assists in coordinating training modules for probation staff in assigned contract compliance areas. Assist in training preparation and maintains training logs and tracking systems. May assist in the training and/or the coordination of training logistics of additional specific programs for Court Staff.
Assists unit staff with program monitoring by maintaining spreadsheets, assist in monthly, quarterly or annual data reports. Assists contract compliance and/or quality assurance projects, as assigned.
Manages Behavioral Health Juvenile Jsutice (BHJJ) packet colelction for tracking, data entry consistency and to aid in the State’s Progam Evlauation conducted by university partners.
Performs other duties as required.
Supervisory Responsibilities
Has no direct supervisory responsibility for staff members.
Equipment Operated
Standard office equipment and office technology such as copy machines, personal computers and telephones. Also includes common probation security devices, including safety vests, personal safety equipment and radios.
Confidential Data
All court-related information regarding hearings, etc. that the employee may come in contact with by working in the facility.
Working Conditions
Works in a general office setting with moderate noise levels.
Usual Physical Demands
While performing the duties of this job, the employee is required to sit, to speak clearly, and to hear. The employee must occasionally lift and/or move up to 10 pounds.
Knowledge, Qualifications, Skills, and Abilities
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Must be a self-starter with the ability to work independently and meet deadlines. Must be a quick learner with a strong skills set in entering, maintaining, and extracting data. Must make good use of time and be well-organized with attention to detail and accuracy; ability to maintain confidentiality; establish and maintain positive working relationships with Court officials and the public; effective oral and written communication skills; ability to work with numbers, including basic understanding of arithmetic. Must be computer literate – proficient in MS Word, Excel, PowerPoint and ability to acquire knowledge and use of Access and Court’s Management Information System.
Education and/or Experience
Requires High School diploma or equivalent
AND
Three (3) years of related work experience. Prefer Associate’s Degree in related field.
Licensure or Certification Requirements
None.
