Job Description : Reservationist with Hatch River ExpeditionsPosition Overview: Full-Time, Monday through FridaySalary Range: $20-$24/hr DOEBenefits Eligible: Healthcare, Paid Sick and Vacation Time, SIMPLE IRA with company match, free or discounted river trips (on an as available basis)Type of work: office, administrative, customer serviceWork Environment and CultureThis position works out of the Hatch River Expeditions office in Flagstaff, Arizona. The office staff consists of a small team of 3-4 individuals who collectively work to ensure all booking, customer service, and administrative work gets done in the most efficient, effective, and timely manner possible. Each member of this small team must be able both to work independently on their own projects and to work closely with their coworkers depending upon the requirements of the particular task at hand. We expect each employee to contribute to discussions about business policies, procedures, and plans from their own unique perspective.The office itself is an open format, dog-friendly environment with a small kitchen. Typical office hours are either 8-4 or 9-5 Monday through Friday. Because of the need to be available for guest phone calls and to problem solve with co-workers during these hours, a remote work option will not be available at this time.New hires will be required to participate in a river trip soon after hiring as part of their training process.Job ResponsibilitiesBooking Reservations and Providing Customer ServiceDevelop thorough understanding of Hatch River Expeditions trips, policies, and booking process and be able to communicate that information to guests and potential guestsAnswer phone calls, voicemails, emails, and web inquiries from guests in professional and informative mannerHelp guests feel at ease about traveling and booking with HRE, while setting realistic expectations about the realities of backcountry vacationsCollect basic information from potential charter group leaders or other specialty groups and communicate to Customer Relations & Accounts Manager for follow upUse web-based booking platform (Arctic Reservations) to create reservations, to collect guest information, to collect payments, and to handle guest transfers and cancellations as necessaryFollow up with booked guests regarding dietary and medical concerns, missing registration information, payments, and other details pertinent to their tripsDiscuss substitution/transfer policy, cancellation policy, and travel insurance options with guests who are considering canceling reservations and work toward solutions that work best for all parties involved within the allowances of HRE policyManage trip and seasonal waitlists and follow up with waitlist guests as cancellations occurWork with the reservations team to make judgment calls about special requests or non-standard situations as they ariseWork with the reservations team to evaluate and update reservation policies as necessaryAssisting the Customer Relations & Accounts Manager (as necessary)Learn to pull and compile reports and rosters from the reservation systemLearn to make minor updates to trips in the reservation systemLearn to update and manage booking and other calendarsLearn to book and update guest rooms and flights with 3rdparty companiesWork with the reservations team to determine updates/changes to trip offerings when the need arisesOther Administrative/Office Duties (as necessary)Order office supplies and equipmentHelp to keep the office cleanPackage and ship guest duffel bags back to them after exchange tripsPackage, record, and ship retail ordersSkills, Experience, and QualificationsEssential Skills and ExperienceProblem solving and troubleshooting abilitiesBeing a self-starter and strong self-educatorAble to work with a team to solve problems and achieve goalsWorking knowledge of Microsoft Office or Google Docs and Sheets – particular emphasis on using Excel or Sheets (including an understanding of formatting, formulas, and using the help function to expand your capabilities)Strong verbal and written communication skillsAbility to prioritize among a variety of tasks and shift focus when the need arisesPreferred Skills and ExperienceOutdoor enthusiastPrevious experience using reservation software or a similar platformHow to Apply: Please email your resume, cover letter, and writing sample to the email address provided.Writing Sample Prompt: Use the Hatch River Expeditions website to find answers to the following questions and write a response to each as though you are replying to a guest email:What gear do you provide?
