Position : Administrative Assistant
Job Description : Summary:
The Alaska SeaLife Center has recently consolidated the administrative support needs for the Science and Education departments to provide more cohesive and cross-functional support. This newly created Administrative Assistant position will work closely with the Research Administrator and is responsible for providing a broad range of administrative coordination and support for both the Science and Education Departments.
Education/Training Requirements:
Associate degree in Business Administration or related field with a minimum of two years experience in a related administrative or accounting position, or the equivalent work experience. Familiarity with accounting principles preferred.
Primary Responsibilities:
Provides great customer service as the primary point of contact for the Science and Education Departments, including handling program reservations via phone, online, and email, and working with scientists to respond to queries from the public.
Maintains departmental calendars, coordinates with department leadership for staffing availability, and communicates with other ASLC departments.
Responsible for ongoing project administrative logistics and management, including managing staff timesheet submission, credit card reconciliations, purchasing, travel reports, and maintaining databases.
Supports department meetings, training, and workshops including scheduling, invitations, site reservation, equipment and supply needs, accommodations, and transportation for invited participants.
Supports preparation and submission of funding requests, reports to funders, and administration of grant logistics and budget.
Provide support for budget preparation, and helps compile reports from financial information and monitors spending levels to aid in meeting expenditure expectations.
Provides administrative support to departmental leadership as needed.
Fosters good relations with visitors, volunteers, community leaders, contractors, and fellow staff members by promoting positive attitudes, goodwill, cooperation, and providing high standards of service.
Has primary responsibility for collecting and maintaining accurate historical and current program participant information database.
Coordinates with the Human Resources Department on policies, procedures, job descriptions, and hiring.
Complies with all Alaska SeaLife Center policies, procedures, and programs.
Performs other related duties as assigned.

14. Must be able to communicate clearly and interact effectively with all levels of staff, the general public, and government agencies.
15. Experience with Google Workspace (formerly G Suite) applications, Microsoft Word, and Excel.
16. Experience working in the informal science education or non-profit field is a plus.
17. Self-motivated and self-directed, with excellent time-management and prioritization skills.
18. Ability to work under minimal supervision; plan, organize, evaluate, and maintain the confidentiality of administrative tasks.
19. Well organized and detail-oriented with the ability to perform in a fast-paced environment.
