We are a dynamic company where employees are eager to succeed and motivated to get things done while growing personally and professionally.Primary Area of FocusThis position will be an advocate for the President of the company providing administrative assistance including but not limited to executive correspondence, expense tracking, calendar maintenance, presentation preparation, and booking travel arrangements. Our ideal candidate is someone who thrives in a fast-paced environment and works well independently.Key ResponsibilitiesActively manage calendar for the President allocating time appropriately avoiding conflictsAct as an air traffic controller keeping email, calendar, and meeting management organizedAbility to develop systemized processes to improve efficiencyOversee research projects to accomplish specific objectivesA special project manager that organizes, leads and helps executes company projects that may fall outside the scope of regular dutiesPrepare key reports on an as-needed basisSet up meeting and conference calls involving internal and/or external parties, utilizing Zoom and various communication platformsCoordinate and book executive travel arrangements, meetings, and eventsMaintain a high level of organization by prioritizing multiple projects simultaneouslyAct as a liaison between internal and external teams to establish clear communication, working across multiple time zonesConduct corporate research on various topicsTrack and process executive expenses on a monthly basisAnticipate needs and preferences and act upon with little supervisionAttend meetings, keeping record of meeting minutes and follow up with key action itemsAct as office manager by keeping up with office needs such as supply ordering, greet on site guests and escort them to proper meeting spaceAs required support various areas of the businessDemonstrate strong critical thinking skillsJob Qualifications5+ years of relevant experience as an Executive AssistantExperience with executive calendar managementProficient in Google Suite, Zoom, Microsoft Suite, Ring CentralExperience with travel coordinationHave a valid High-School Diploma or equivalent requiredExcellent communication skills, both oral and writtenBe legally permitted to work in the USEqual Employment OpportunityThe Company is committed to providing a non-discriminatory employment environment for its employees.The policy of the Company is to fully comply with applicable federal, state, and local laws, rules, and regulations in the area of nondiscrimination in employment.
