Job Description : Buying Assistant Overview
As a Merchandise Assistant (MA) or Buying Assistant (BA), you will support the daily operational functions within your designated buying area; support the buying team in managing the overall merchandise flow. You will also learn to develop key cross functional relationships with both the market and internal partners: distribution center, design, and production. The MA is also responsible for partnering with the Assistant Buyer on all necessary tasks.
Buying Assistant Responsibilities
Sample Management
Open all packages and distribute to the appropriate Assistant Buyer for review
Organize all sample areas (our area, desk, shelves, etc.)
Manage and set up samples for all meetings
Take pictures of finalizations and styleouts
Digitally organize samples in sample log to track location and other critical information
Call in any missing samples from vendors or request from production via sample log
Organize and file all vendor catalogs.
Work with Assistant Buyer and Product Assistant Coordinator to request appropriate number of samples for web turnover, catalog shoots, press previews, and other meetings
Turn over samples to Product Coordination team weekly with completed tags and product information sheets
Vendor Communication
After opening unsolicited or preproduction samples, contact vendors with feedback
Answer various inquiries regarding shipping/delivery, samples, etc.
Setting up new vendors and send them routing guides and pre-ticketing information
Reporting / Attribute Management
Run reports every Monday morning for Buyer and Assistant Buyers
Make all necessary attribute changes and confirm everything is coded correctly
Entering, updating, managing, tracking, and organizing purchase orders in all systems (MTS, IP and Blue Cherry) to ensure timely delivery
Ensuring accuracy in all systems
Merchandising Sample Coordinator Overview
The Sample Coordinator will be responsible for maintaining all photo samples. This person will know the whereabouts of all samples by creating and maintaining a log book. They will coordinate the flow of samples from styleout, turnover, photo shoot, color correction and PR. They will manage the stock room and organize by catalog and category. The manager will work closely with the buyers, merchandisers and production.
Merchandising Sample Coordinator Responsibilities
Check in and log merchandise each morning
Maintain tracking system for sample whereabouts
Return completed samples back to domestic vendors and warehouse
Prepare and send samples for color correction
Prepare and tag all samples for web and catalog photo shoots
Pack truck for home shoots
Prepare and set up samples for call center training
Prepare samples for styleouts
Maintain stockroom
Coordinate Sample Sales
Enter, manage and organize Purchase Orders
Buying Assistant / Merchandising Sample Coordinator Qualifications
Must exhibit strong communication, time management and interpersonal skills
Ability to prioritize projects and handle multiple tasks
Ability to work in a fast-paced work environment with sense of urgency
Must demonstrate creative and detail oriented thinking
Ability to develop and maintain productive relationships and communicate effectively with internal and external partners
An understanding of the customer’s wants and needs and the ability to identify the appropriate product/trend that will appeal to the customer and meet their expectations
Proficient in Excel, PowerPoint and Outlook
Bachelors Degree in Fashion, Business or a related field required
Retail experience preferred
