Job Description : Established in Dallas, TX in 2012, Heirloom Hardware & Home is a boutique design firm working with a wide variety of design projects ranging from ground up new build work to custom renovations and everything in between. Our projects highlight the personalities and experiences of our clients, while refining their style and adding sophistication to their homes. We do this with the help of our dynamic & fun HHH team and deep portfolio of local craftsmen, artisans, trade vendors and the like to deliver a successful ending to every story, every time…on time & on budget. As a high-end residential design firm, we are looking for someone to be a direct assistant to the Principal.Applicant:The successful applicant will be an integral part of the team. The Administrative Assistant will coordinate with the principal designer, co-workers, vendors, contractors, and clients to organize solutions that accomplish the Team’s goals The ideal applicant will be a highly motivated go getter, who is detail oriented, is extremely organized and has a positive attitude.Manages accurate and current calendar for Principal/CEO, HHH team, contractors & vendors including time tracking & reportingCommunicates with clients via email, text and phone regarding scheduling and order follow-up.Maintains and updates office and project records as neededSets up, tracks and processes client quotes, purchase orders & invoices & receipt reconciliation of all three.Adds sourced products & vendor quotes to system while obtaining follow up pricing/lead time from vendors and contractors re: pricing and product availabilityCompiles & analyzes information for reports and presentations and prepares for weekly meetings.Responds to routine inquiries for information from potential clientsMonitors & updates project & product development progress.Maintain office suppliesCreate meeting agendas and follow-up notes including updated weekly changes done in the field of changing tasks assigned to the team & integrating those from the top down.Work with and train seasonal interns on various tasks related to HHH including Updating and maintaining social media content, creating project binders and maintaining product sample library and the like.Minimum qualifications:Typically 2-5 years related administrative assistant experience.At ease with computer use – MacBook, Quickbooks, Airtable & google docs a plus but can be taught so eagerness to learn required.Knowledge, Skills and AbilitiesDemonstrated organizational skills and high level of detail orientation.Excellent written and oral communication skills.Able to independently set priorities, maintain deadlines and ability to inquire for assistance when needed so deadlines can be met.Proven ability to multi-task and independently prioritize responsibilities from various team members & modes of communication.Ability to work effectively in a dynamic environment while being confident in the admin roleProfessional demeanor and telephone/written mannerisms.Proven ability to proactively anticipate the office and structure related needs.Flexible team player with a desire to contribute new and improved ideas and/or processes to enhance current approaches to the business.Job Type: Full-timePay: $20.00 – $25.00 per hourSchedule:Monday to FridayAbility to commute/relocate:Dallas, TX 75207: Reliably commute or planning to relocate before starting work (Required)Education:Bachelor’s (Preferred)Work Location: One location
