Job Description : Overview:
PNNL is looking for a travel coordinator to join our Foreign Travel Office, reporting through the National Security Directorate’s Operations Office. This position performs multiple functions necessary to support foreign travel for PNNL staff and subcontractors.
This position is an integral part of the foreign travel process to assure that all foreign travel is appropriately managed through PNNL & DOE systems, all required PNNL approvals are received, the traveler has met the applicable country requirements and has received the country approval documents, and everything is in order before the traveler leaves. The position requires a thorough understanding of the Advanced Travel Requests System, the DOE Foreign Travel Management System, PNNL travel requirements, and required country documents/approvals. The incumbent will be required to work with several levels of PNNL management, DOE, multiple embassies, and PNNL travel management. The incumbent in this position must be able to work on multiple tasks simultaneously in parallel, work independently, and work within a team. The incumbent must be able to respond during non-work hours when needed.
Responsibilities:
Performs administrative and office support activities. Duties may include managing schedules, emails, and travel, fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. More specific duties depending on discipline may also include development of required documentation and fielding questions from internal or external stakeholders.
Support PNNL staff to assure compliance with the special requirements that apply to foreign travel. This includes managing the data in the Advanced Travel Requests (ATR) and the DOE Foreign Travel Management System. This position also handles the Pre-Notification Travel Records (PNTRs), Travel Records (TRs), and Country Clearance Requests (CCRs), trip report guidance/assistance, obtaining passports and visas, and closing out ATRs.
This incumbent will coordinate and handle a large volume of travelers for programmatic events that require participants to travel internationally. To be able to process the foreign travel, the incumbent must work with the Event Coordinators and the Programmatic Events Specialist to ensure all required documents are received and the flights are book in a timely manner.
Qualifications:
Minimum Qualifications:
High School Diploma and 3-5 years’ experience in an administrative environment, or combination of education and experience.
Experience in planning meetings and coordinating travel.
Preferred Qualifications:
Previous foreign travel coordination
Working knowledge of PNNL and DOE travel systems
Excellent communication skills
