Job Description : JOB DESCRIPTION – ADMITTING SURGERY SCHEDULERTitle Admitting Surgery SchedulerMain Function Greets patients, prepares admitting paperwork, surgery scheduler and assists with coordinating surgery days.Duties and Responsibilitiesa) Supports the facility’s ideology, mission, goals and objectivesb) Performs in accordance with the facility’s policies and proceduresc) Follows the facility’s Standards for Ethical Business Conductd) Conducts oneself as a positive role model and team membere) Cognizant of patient’s rights and responsibilities and supports them in performance of job dutiesf) Respects patient’s right to privacy, dignity, and confidentialityg) Participates in facility committees, meetings, in-services, and activities2. Surgery Scheduler Duties a) Schedules all procedures to be performed in facilityb) Follows scheduling form to obtain all necessary patient demographic, health, and insurance information from physician’s officec) Maintains copy of medical staff member’s Delineation of Privileges to determine appropriateness of scheduled procedures; notifies clinical director if questions arised) Schedules appointments and procedures according to nursing and anesthesia staff availability, patient needs, and physician’s block time i) Coordinates surgical schedules with clinical director and preoperative nursing staffe) Regulates schedule according to procedure and physician’s time and staffing requirementsf) Coordinates schedule assessing time and equipment availability; identifies conflicts and adjusts schedule as neededg) Accurately prepares final preoperative and surgery schedule for timely distributionh) Distributes schedules to appropriate areas so that required staff and supplies are availablei) Follows procedure for notification of changes in the schedule (e.g., cancellation, rescheduling)j) For new patients, assigns medical records number and enters all demographic and insurance information into computerk) For repeat patients, makes any necessary changes in demographic or insurance information in computerl) Responsible for cancellation logm) Performs other miscellaneous office/clerical duties as neededn) Answers telephone as neededJOB DESCRIPTION – ADMITTING SURGERY SCHEDULER – Page 2Duties and Responsibilities a) Serves as telephone operator for facility, responsible for correct routing of incoming calls, taking accurate messages when unable to connect to requested partyb) Responsible for receiving and distributing mail, special deliveriesc) If billing/collections done in-house:d) Stamps the back of each check with deposit stamp at time of receipt ii. Makes copies of all checks with EOBs received in mail, credit card slips, and cash received from patientse) Separates EOBs from checks and attaches original of EOB to copy iv. When receiving payments by cash or check directly from patients, issues appropriate duplicate receiptf) When receiving credit card payments from patients, verifies credit card and issues necessary duplicate credit card paperwork/receipt to patientg) Posts all checks, credit card slips, and cash received to payments received log, showing type of payment separatelyh) If separate billing accounts, i.e., facility, anesthesia, physicians, sorts and posts each to separate payments received logi) Balances log to cash/checks/credit card paymentsj) Completes deposit log for patient and insurance payments b. Completes separate deposit log for other types of payments, i.e., refund of overpayment from accounts payable, etc.k)If separate billing accounts, i.e., facility, anesthesia, physicians, sorts and posts each to separate deposit logsl) Balances deposit log to payments received log less credit card payments e. Gives balanced payments received log and deposit log, originals and copies of all cash/credit card slips/ checks received to business office managerm) Greets patients, gives necessary paperwork to complete g. After patient completion of paperwork, notifies appropriate nursing staff that patient is present h. Responsible for keeping track of patient’s family, driver, etc.n) Responsible for ensuring that Pharmaceutical/Equipment Representatives have appropriate badges and do not interfere with patient care or confidentialityo) Responsible for making up all patient charts in advance, printing forms, labeling, etc.p) Responsible for patient courtesy area, i.e., coffee, refreshments, cleanliness, etc. l. Responsible for maintaining inventory of business office supplies, ordering business office supplies, checking accuracy of order upon arrival, distribution and storage of business office suppliesq) If applicable, prints out all labels for patient charts and assembles chartsr) In times of emergency, responsible for placing calls to appropriate agencies for assistance o. Performs other miscellaneous office/clerical duties as neededResponsibility for 1. Responsible for incoming cash, checks and credit card receipts until balanced and delivered to Business Office ManagerQualifications1.
