Does assisting with travel arrangements and event planning on short notice sound like fun? If you answered yes to all, and have previous experience, we want to talk to you!Successful insurance brokerage in Ventura is in need of an Executive Assistant for the President and needs a reliable person as soon as possible.Your duties would include assisting with the president’s scheduling – everything from business meetings, events and seminars, and conference calls to personal appointments. You would help with childcare, pets (dogs), household duties as well as administration support with travel, from booking airline tickets and hotels to arranging ground transport, to booking out meeting rooms for company events and parties.You may be asked to run personal errands – picking up dry-cleaning, grabbing coffee or lunch, or doing personal shopping are all part of the job. You may be responsible for transcribing notes or meeting minutes, filing expense reports, sending or sorting through correspondence, and other administrative tasks. This position is full time, Monday – Friday, with occasional required overtime, including evenings and weekends. Occasional travel will be required. Company benefits are included.Job Requirements: A STRONG attention to detail and extremely high record of follow-through. You would be responsible for clarifications, asking for additional information, and seeing problems with scheduling or travel before they come up. You should be extremely organized.Must be very flexible and willing to make changes on the fly; travel arrangements may need to be changed at the last minute, personal errands may come up at inopportune times, and task prioritization can shift at a moment’s notice.Previous experience with childcare and preparing snacks and mealsYou need to be computer literate, very comfortable with Microsoft Office Suite, and comfortable with a cell phone. Using travel websites, expense websites, and scheduling software should be no big deal to you.You should have a friendly, welcoming demeanor and a good sense of humor. You’ll be working with executive staff, clients, and business partners, so professionalism is required.Valid driver’s license, vehicle and excellent driving recordExperience with household duties and comfortable with pets (dogs)COVID vaccination + booster a plusCPR Certificate a plusNot required, but nice to have:A degree in hospitality, certification in personal assisting or household management or early childhood education experience. This is not required, but it’ll help you stand out.3 or more years’ experience in a personal assistant, executive assistant or similar role, which includes childcare.
