Job Description : We are an interior and architectural design studio with a store front on Montana Ave looking for an excellent Executive Assistant to perform a variety of administrative tasks such as phones, scheduling, travel arrangements, excel spreadsheets, ability to switch attention from one project to another while ticking off the various and varied tasks. There may potentially be some driving for the occasional picking up and returning of design materials to various showrooms, lunches, etc. There may be some (not very) personal overflow such as scheduling the owner’s child’s vacation schedule (which effects the overall schedule of the office) or other minor personal scheduling of projects for a smoother day.The best candidate has strong computer and organizational skills as this new position will require you to create your own systems. To be successful in this role, you should be well-organized, pleasant, have great time management skills and be able to act without guidance while able to take supportive direction from the office at large. We are busy and no day is the same. Ultimately, you will be the key to the efficiency of our business by providing personalized and timely support to the entire office and with your experience you can sense where you can assist and do so. We are a small, happy work place that enjoys what we do and show it in everything we take on and are looking forward to a wonderfully professional Executive Assistant to help us grow.ResponsibilitiesAct as the point of contact for initial phone calls, clients, sub contractors, etc.Manage information flow in a timely and accurate mannerManage calendars and set up meetings for the entire design staffMake travel and accommodation arrangementsWork with the bookkeeper in compiling expenses and/or receipts organized by project and be comfortable with numbersBe capable and comfortable to drive to and walk through construction job sites as well as luxury homesAct as an office manager by keeping up with office supply inventory including groceries, water, etc.Format information for internal and external communication – memos, emails, presentations, reports, phone updates.Take notes during meetings and keep all parties informed of the various projectsScreen and direct phone calls and distribute correspondenceAble to navigate, create and master Task Lists by prioritizing and organizing the lead designerSkillsWork experience as an Executive Assistant, Personal Assistant or similar role for at least 6 yearsExcellent MS Office knowledge and problem solvingOutstanding organizational and time management skillsFamiliarity with office gadgets and soft ware applications including Mac.Excellent verbal and written communications skills,Discretion and confidentialityPatience and ProfessionalismInterior Design interestFamiliarity with Social Media (success in posting or PR experience a plus)Job Type: Full-timePay: $65,000.00 – $80,000.00 per yearBenefits:Dental insuranceHealth insurancePaid time offSchedule:8 hour shiftSupplemental Pay:Bonus payCOVID-19 considerations:We require you to be vaccinated and we test sporadically.
