It is an on-site part-time Receptionist position, with a minimum of 3 days a week, at our office near Downtown Gilbert, AZ.We are looking for someone with Customer Service experience to help us deliver superior service by building and nurturing the client relationship, as well as performing all related administrative functions. If you have exceptional client service and communication skills, with a good understanding of finance, this may be the opportunity for you!Executive Summary of Position: Designed to Provide general support with a variety of clerical activities and related tasks and assist with preparing staff and client onboarding and helping Maintain, Organize and Manage Daily office Operations.Essential Duties: Opens and closes lobby/visitor area (locking doors, closing blinds, turning off lights)Greet guests in a professional, friendly, and hospitable manner.Coordinates the pickup of regular mail, and the pickup and delivery of express mail services (UPS, FedEx, etc)Managing the office space and coordinating the maintenance and cleaning of our offices.Assist the owners in daily office operations as deemed necessaryHelp in managing the ordering, receiving, stocking and distribution of office suppliesCoordinate client meetingsProvide superior client service by handling all incoming client requests and following through to ensure client’s needs are metDocument key client milestones and other important data into systems that will assist in future client interactionsMaintain risk awareness and compliance; identify problems in a timely manner while complying with standard resolution policy, the established corporate process, and regulatory proceduresSupport the firm’s initiatives, assist with any company-wide projects and activities, and attend functions as neededParticipation in projects, task forces, councils, and product rollouts to ensure CSA voice is representedAbility to get fingerprinted as a condition of employmentOther Duties: Strong relationship building skills and enjoys speaking with new peopleParticipate by example and through the sharing of knowledge and skill in promoting a positive teamwork environment.Perform other duties as assigned by ManagementMust possess superior communication skills – verbal and writtenSelf-motivated with strong attention to detailEthical, with a commitment to company core valuesAbility to organize and manage multiple priorities simultaneouslyAbility to manage relationships with internal and external partnersAbility to adapt and be flexible in a fast-paced, changing environment that adheres to tight deadlinesAbility to learn and retain detailed informationProactive thinker, problem-solverComfortable working in an open, team atmosphereEducation/Work Experience: Two years of industry experience is preferred but not neededExceptional client service skills and ability to communicate effectivelyPosition requires a high level of confidentialityReasoning ability includes common sense understanding to carry out instructions furnished in written, oral or diagram form.Ability to read and interpret instructions, documents, and manuals; write correspondence; speak effectively with customers, employees, or vendors.Ability to add, subtract, multiply, divide in all units of measure, using whole numbers, common fractions, and decimals.Computer skill required is that of basic personal computing including electronic mail, word processing, spreadsheets, graphics, etc. Knowledge of MS Office (Word, Excel, Outlook).
