Job Description : INTRODUCTION: Are you looking for an opportunity to make a difference at the local level by helping to connect people to the outdoors through trails, cabins and outreach? The Potomac Appalachian Trail Club (PATC) is a solid, 95-year-old organization that has a terrific staff, an active board, and is supported by 8,000 members and 800 motivated volunteers.We are looking for a special someone with superlative customer service skills and a high attention to detail who knows their way around databases. We love our members, and our membership program is a key component of what we do. PATC relies on our members for support and inspiration, and attracting and keeping our members happy and informed is a high priority. Our Membership Coordinator is PATC’s go-to person to coordinate all of our membership data tracking and programs, and serves as the public face for all inquiries and requests about PATC membership.This membership coordinator is a part-time position (30 hours per week with benefits) and works under the direct supervision of the Staff Director, with significant guidance from the (volunteer) Supervisor of Membership.If the chosen candidate also has IT skills, we will make this into a full-time position at 40 hours. The IT coordinator duties include responding to routine IT help-desk-type questions, managing systems passwords, supporting the IT Committee, and similar duties.LOCATION: This is a hybrid position, meaning it requires the Membership Coordinator to spend some time in the office located in Vienna, Virginia. We can arrange a WFH and in-office schedule that fits the organizational duties and the individual, but it will require at least one full day in the office every week.Due to the requirements of the position, an all-remote position will NOT be considered.BACKGROUNDThe Potomac Appalachian Trail Club (PATC) is based in Vienna, Virginia and operates throughout the Mid-Atlantic region, maintaining 240 miles of the Appalachian Trail, and building and maintaining over 800 miles of additional trails. In addition, we build and maintain over 40 shelters along the trail and over 44 cabins that we rent throughout the region. We also deliver outreach and education events, both in-person and remotely. PATC has more than 8,000 members and 800 active volunteers. It employs nine permanent employees and additional, seasonal employees. Its annual operating budget exceeds one million dollars.SCOPE OF DUTIESPATC has more than 8,000 members, and is committed to serving these members and supporting their interests. The Membership Coordinator proactively tracks member records, sends renewal notices, and supervises the processing of memberships and the presentation of member benefits. The Membership Coordinator is the staff leader in this area, and works with the volunteer Supervisor of Membership.The Membership Coordinator sends out renewal notices, supervises the processing of new and renewing members, and ensures that member feedback and expressions of interest in specific areas of the Club are passed along to the appropriate leaders.This job also entails processing contributions that come in, and ensuring that donors are thanked in a timely and courteous manner.FUNCTIONAL RESPONSIBILITIESThe Membership Coordinator is responsible for supporting PATC’s members. This includes:Entering and maintaining data and generating reports on membership dues and donations.Manage a program for member retention and growth, meeting set metrics.Respond to membership inquiries.Preparing New Member packages.Sending out membership cards.Assisting with fundraising campaigns.Sending dues notices.Maintaining newsletter distribution lists.Tracking and preparing awards for the annual meeting.Setting up online registrations for member events (training classes, meetings, etc.).Fielding questions from the public about PATC membership.Survey members for satisfaction and for concerns.Coordinate process to thank donors to the organization.Administration (processing and responding to emails, organizing, filing, etc.).SPECIAL REQUIREMENTSPATC uses iMIS, a proprietary system developed by Advanced Solutions International, as its primary membership management database. Familiarity with iMIS is highly desirable for this position.ADDITIONAL DUTIESAs PATC is a small office, staff will frequently support each other, and provide cover when a fellow staff member is out of the office. All employees regularly take on “other duties as assigned.”QUALIFICATIONSThe Membership Coordinator will possess the following skills and qualifications:Experience in membership management or related training or experience.Superlative interpersonal, customer service, and communications skills, both written and oral.Strict attention to detail.Strong writing, email, and correspondence skills.Excellent organizational and time management skills.Flexibility; ability to multitask and prioritize.Experience in the use of personal computers and facility with MS Office programs such as Word, Outlook and Excel; database management, especially experience with iMIS, is a plus.A positive attitude and a deep commitment to the PATC mission.Familiarity with social media platforms including Facebook and Twitter, a plus.If the chosen candidate also has IT skills, we will make this into a full-time position at 40 hours. The IT Coordinator aspects of the position would then include:Assist PATC members, volunteers, and staff through their relationship with the PATC website and IT presence, both responding to questions and proactively identifying and addressing potential issues.Advise IT Committee Chair of issues regarding the integrity and functionality of the hardware/software environment of the PATC HQ in-house computing network and environment requiring funding to resolve (e.g. work station computer failure, Operating System upgrade.)Manage PATC’s relationship with IT Contractors and/or VendorsMaintain PATC domain user names, contacts, security groups and email distribution lists to reflect current staff, volunteers and external contacts.Verify bank deposits reported in iMISDesktop support for users at PATC Headquarters.Salary commensurate with experience.
