Job Description : Immediate Supervisor: UCM Center DirectorSupervisory Responsibility: Assigned student interns and volunteersOperations Responsibilities: Manage daily operations of UCM: answer phone, greet visitors, and provide information.Office related: office supplies, equipment, copier repairs and toner; provide copier training.Supervise work-study interns and community service volunteers when assigned related duties.Clerical related: general correspondence, distribute incoming mail, maintain databases, organize and maintain efficient filing system, and create forms.Board related: prepare meeting materials, attend meetings, take minutes in the board secretary’s absence, maintain current contact information, and archive Board records.Fiscal Responsibilities: Work with accountants to maintain an accurate and up-to-date bookkeeping system.Log and deposit all income, donations, and rents (apartment, offices, parking spaces).Maintain paper records for accounts payable, deposits made, and payroll.Prepare monthly, quarterly and year-end financial reports for the board.Assist in preparing draft budget each year.Assist with writing and preparation of grant proposals.Stay in compliance with state and federal regulations as advised by the accountant.Outreach Responsibilities: Assist with public events, fundraising events, tabling, and other outreach activities.Assist with program registration and scheduling volunteers for various events.Oversee bulk mailing preparation of fundraising letters and invitation flyers: design and/or format documents, provide copies, envelopes, mailing labels, and other materials. Stay current on postal regulations and forms, and keep sufficient funds in UCM postal account.Make connections with Ohio University offices and departments.Coordinate with OU’s Center for Campus & Community Engagement and oversee GivePulse.Assist with publications, PR materials, social media posts, and the annual report.Building Responsibilities: Evaluate maintenance needs and manage the completion of minor repairs. Plan for major building projects in conjunction with the director and Board of Directors. Oversee building contracts or minor projects from estimates to project completion/payment.Manage rentals. Serve as contact for tenants of offices, parking lot spots, and the apartment. Advertise in local media for new tenants to fill vacancies as needed.Coordinate: UCM Center building use, schedule meeting space.Informational areas including bulletin boards, literature table, and signs.All exterior and grounds maintenance.Janitorial service, order building supplies as needed.Curb-placement of recycling and trash.Community Meals Programs Responsibilities: Ensure that meals are prepared and served twice a week at least 46 weeks per year.Serve as advisor for the Nourish Athens student organization and oversee SAC funding applications, spending, and reporting.Establish and maintain relationships with community partners tied to operation of the meals (i.e., CFI, Athens Food Rescue, Avalanche Pizza, local businesses, local churches with free meal programs, compost pickup, Rural Action’s Zero Waste Initiative)Sign off on necessary documentation for individuals needing community service credit through Athens County Court, OUCC&CE, university organizations, or other programs with a community service requirement.Create documents and procedures to ensure a smooth operations of the free meals program.Complete operational aspects of meals (when student interns are not available): Prepare and serve meals with available volunteers and staff.Track and monitor numbers related to volunteers, meal participants, supplies, and budget.Coordinate a schedule of individual and group volunteers for meals coverage.Manage the collection and/or delivery of donated and purchased food and related supplies.Provide safe and cleanly food service and dining operations with established cleaning schedules, proper chemical use, volunteer orientation, and participant relations.Promote the meals programs through signage, flyers, emails, and social media.Secure additional funds and donations to enhance the programs including local donation collection jars, potential grants, and small fundraisers.Flexibility Notice: Hours dedicated to the above responsibilities and tasks will flex based on the availability of student interns, VISTA staff, and other full or part-time staff members. This is especially the case with the Community Meals Programs responsibilities. Generally, this position will monitor the meals programs, but hours may need to shift to direct service to prepare the meals on occasion.Additional Details: Hours: Full-time: 35 hours per week for 52 weeks/12 monthsLength of Probationary Period: 90 daysEvaluation annually by the director with input from the board, interns, and volunteers.Starting salary and benefits: $17 per hour, employee health insurance assistance if needed,13 paid holidays, and two weeks (70 hours) paid vacation.United Campus Ministry is an Affirmative Action and Equal Opportunity Employer and adheres to the principles embodied by these statements.
