The American Civil Liberties Union of Alaska is looking for a detail-focused team player to support our work protecting Alaskans’ constitutional rights and civil liberties. As our full-time Operations Manager, you will make sure that we operate smoothly day-to-day by working with outside vendors and volunteers, streamlining office procedures, and providing administrative support to the ACLU of Alaska’s staff. The Operations Manager reports to the Executive Director.
Who we are
The ACLU of Alaska is the Alaska affiliate of the national ACLU, the nation’s oldest and largest protector of the Bill of Rights. We are Alaska’s premier civil rights and civil liberties advocate, and are a nonprofit, nonpartisan organization that integrates litigation, public policy advocacy, public education, communications with the media and our members, as well as coalition building and grassroots organizing to defend and expand Alaskans’ constitutional rights and individual freedoms.
Our broad advocacy program includes work to eliminate discrimination against LGBTQ individuals, dramatically reform the criminal justice system, pare back the national security state and strengthen the right of privacy, ensure that all Americans can freely and easily vote, and defeat perennial attempts to restrict people’s right to safe and legal abortions.
Among our recent successes, we led Anchorage voters to be the first in the nation to reject an anti-trans bathroom bill, obtained a judgment that the governor could not veto court system funding simply because he disagreed with an Alaska Supreme Court decision protecting abortion rights, and protected the free speech rights of public employees.
Your responsibilities
By owning everything administrative and operational, you will ensure that our office runs smoothly and efficiently. Specific responsibilities include:
Administrative:
Ensuring the accurate and punctual reporting of information to government agencies and third-party organizations regarding lobbying, operations, and finances
Coordinating with the Executive Director to create agendas for staff and board meetings, taking meeting minutes and facilitating as needed
Managing file storage, archiving procedures and ensuring compliance with records retention and confidentiality guidelines
Ordering and stocking office supplies, assisting with upkeep of our office and equipment, and owning the logistics for team meetings and events
Processing the office’s mail, responding to general inquiries, and redirecting specific inquiries to the appropriate staff; and
Supporting the Board of Directors by preparing quarterly meeting packets, agendas and reports.
Financial:
Processing bills, reconciling credit card and bank statements, and other financial management tasks
Helping our Director of Philanthropy by processing donations to the ACLU, generating reports based on donation records, and reconciling those records against our National office’s records and
Coordinating with our auditors and accountants to ensure the accurate reporting of financial statements.
Personnel Responsibilities:
Facilitating job postings, interview schedules, and interfacing with candidates on behalf of the hiring director
Onboarding new employees by managing paperwork, issuing necessary equipment and supplies, and familiarizing new employees to the office and
Coordinating with staff and vendors regarding payroll and benefits.
Program Support:
In partnership with our Legal Director, keeping our legal cases’ electronic and paper files organized, managing the calendar of legal due dates, and reviewing intakes from people asking for help
Working with volunteers to deploy their talents at the ACLU, including by having them initially review and process letters and phone calls requesting help from the ACLU and
Undertaking ad hoc special projects at the request of the organization’s directors, often in partnership with the Executive Director.
Qualifications
The ideal candidate:
thrives in a fast-paced office environment and can manage a high volume of work efficiently without sacrificing quality;
is known for being highly organized, with strong attention to detail
has a sense of urgency; even if a task is routine, it often must be done promptly
has excellent problem-solving skills and a strong sense of ownership over tasks, including follow-through, and is willing to do what it takes to get the job done
has experience responding to and prioritizing multiple requests from multiple colleagues and the ability to communicate effectively when the workload is too high
is fluent in Microsoft Office; experience with database management, especially Salesforce, as well as ability to provide basic IT support to colleagues is a bonus and
is relentlessly positive and flexible.
Compensation
This is a full-time, at-will position in Anchorage. The salary range is $60,000 – $65,000 and includes generous benefits, including health, dental, disability, and life insurance, a 401(k) plan with an employer-match, and generous vacation, sick, and holiday leave. The ACLU of Alaska also offers a stipend to help defray moving costs where appropriate.
Coronavirus addendum
Due to the Coronavirus, the ACLU of Alaska is currently a semi-remote office. The Operations Manager can be a hybrid position with some work from home opportunities, but will need to spend significant time in the office.
