Job Description : About Us: Advanced Image Med Spa & Elite Wellness Center is an established medical spa owned and operated by Dr Jennessa Iannitelli. We have an extensive list of offerings from liposuction and non-surgical facial services to laser hair removal.We have an immediate opening for a Full-time Patient Care Coordinator to join our growing practice. We are looking for a motivated individual who wants to be a part of a close-knit team that all depend on each other. You must be available Tuesday-Friday 9am-6pm and Saturday 9-4.We are a successful, fast-paced office and we need critical thinkers who want their opinion to matter. We are looking for an additional team member to be part of our family.General Job Description: Our ideal candidate willhave a dynamic, upbeat personality, committed work ethic with exceptional sales, social and organizational skills.You will be responsible for performing all front desk duties such as booking appointments, scheduling subsequent follow up treatments, answering phone calls, answering patient questions, handling payments, and any and all other duties as needed to help run the office. We are a team so happily assisting other staff members and the doctor as needed will be an important part of your job. The Patient Coordinator is expected to be able to understand and promote company services by truly listening to clients and educating them. The candidate we hire must have a strong sales background, excellent listening skills and follow-up skills. Our new team member must understand and be able to articulate in a clear concise manner all of our services and medical product information to clients of all backgrounds and ages.Specific Job Description:Answer calls, texts and emails promptly and professionallyHelp patients fill out new patient and consent information on our portalRoom patients when neededSet proper and concise expectations for patientsHave confidence and be comfortable charging and explaining consultation , cancellation and other procedure details to all patients and potential clientelePersonable, understanding, upbeat and professional with all clients and staffFocused on educating, selling, and following up on all leads. and other sales-related functions.You must be comfortable with quoting and asking patients to proceed with procedures and treatmentsSchedule procedures efficiently and effectivelyMust be able to use spreadsheets, excel, and our EHR softwareExtremely important to be able to hear a patient concerns and apply those concerns to our procedures and servicesPerform clerical duties such as filing, photocopying, and faxingEducate, explain and listen to patients to ensure quality customer serviceAssist prospective patients in making comfortable and confident decisions in the procedures they selectHelp clean and maintain a meticulous environmentQualifications/Experience2 year’s relevant work experience in a medical spa or similar environmentSales experiencePerform daily administrative duties including calling patients, handling patient inquiries, answering phones, communicate with patients via phone, email and textGreat communication skills both verbally and writtenThe ability and understanding of the importance of creating an amazing first impressionMust have proven experience taking patient information via phone and scheduling those patientsMultitasking and time-management skills with the ability to prioritize tasksTreat every patient with dignity, understanding and compassion Demonstrated experience of delivering excellent customer serviceCollaborate successfully with patients and all team membersExperience working in a fast-paced environmentProficiency in Microsoft Office SuiteBe a critical thinkerExcellent organizational skillsPersonal CharacteristicHighly self-motivated, hardworking, and goal driven team playerCritical Thinker- challenges are just a process not a problemUpbeat, professional and positive – leave your problems at the doorProfessional, caring and compassionate team memberAlways open to learning and improving; excited about constructive criticism so you can learn and growConfident, dynamic phone voice.
