Job Description : PRIMARY ASSIGNMENTS: Report directly to Trustee for all PCW concerns/issues/projects.LEASING Negotiate lease renewals for office tenants in Soffer Portfolio; prepare proposals for trustee review and approval; close dealsPrepare current lease availability materials/books/marketing material with leasing agent marketing team.Oversee and coordinate internal lease processes:o abstracts, lease administration,o rentroll review and updating via MRIo A/R meetingso hard copy and electronic lease document filingSchedule appointments and show available suites to renewal tenantsSubmit existing floor plans with tenant space plan program to outside architect for test fit design and lease exhibitsWork with Counsel to prepare leases and exhibits; track for full execution and confirmation of lease termsOPERATIONS Oversee the cleaning and maintenance of facility (interior and exterior).Physically walk and inspect site (interior and exterior) on a regular basis to ensure buildings and grounds are being maintained to corporate standards.Coordinate cleaning activities with service provider supervisor on daily cleaning, cleaning complaints, requests, inspections, etc.Deal with tenant concerns and requests on timely basis to ensure tenant satisfaction withManagement.Direct all tenant concerns and requests to proper Soffer Department, when necessary.Respond to site emergencies such as roof leaks, elevator entrapments, water leaks, electric power outages, etc. and contact appropriate vendor/maintenance staff for corrective action.Schedule vendors for building improvements, tenant alterations, building repairs, etc.Assign daily repairs and prioritize work assignments with lead carpenter.Receive and respond to phone, walk-in and emailed inquiries regarding available office space.Prepare move-in/move-out forms for Operations DepartmentLiaison between tenants and contractors with regard to construction, repair, improvements and maintenance issues. Ensure all required paperwork is received and current with vendors, etc, (i.e. Certificates of Insurance) Oversee maintenance of all building systems; including daily, monthly and repair items as needed. Show space to prospects in absence of Leasing Department. Meet with tenants requesting services and determine if they are billable or a lease responsible item/s. Prepare work authorization, when necessary, and forward to Accounting for invoicing.Report all security concerns/issues, etc. directly to the Security Contractor.Conduct periodic site inspections with Trustee and ownershipAssure site is covered during snow season for all after hour and weekend coverage.Assign seasonal repairs and maintenance.Ensure all AP invoices are submitted to the AP Department for payment in a timely manner.Seasonal: Coordinate landscaping/flowers, etc. with Maintenance and landscaping vendors.Take ownership of the Penn Center West maintenance budget; create an accurate budget for the market, coordinate spending amounts and timing per the budget parameters; take responsibility for budget performance and be able to explain cost variances. , Prepare the Penn Center West maintenance department annual budgetProvide input on the creation and pricing of property maintenance projects as well as larger capital projectsReview and provide comments on periodic budget variance reports.Conduct in 3rd party contract bidding process for operations servicesAchieve high levels of building maintenance and tenant service while maintaining expenses within budget and following lease parameters.TI/BI CONSTRUCTION Overall responsibility to bring TI and Capital construction projects to completion on time and on/below budgetProvide timely and detailed construction estimates when structuring proposals.Provide up front input for space layout and construction time frames. Participate in tours and planning meetings with prospect.Work with Counsel to prepare lease construction exhibits and worklettersProvide positive interactions with tenant personnel, coordinate architects and engineers to select finishes and finalize project details. Develop relationship and trust with tenant decision makers to ensure good communication that leads to a smooth project.Manage construction of new space as required for tenants (Tenant ImprovementProjects); interact with tenant personnel, architects and engineers to select finishes and finalize project details. Obtain bids and oversee construction for current and new tenants.Manage day to day activities on the job site, direct foreman and resolve construction issues in the field. Coordinate landlord and tenant subcontractors order repairs, secure contracts, budget and control expenses for same.Coordinate security systems, keys/cards with Tenants and Security Contractor.Emergency Situation: All management personnel are to respond to any and all emergency situations to coordinate emergency response and minimize liability for the company.NOTE: This job description is to be utilized as a guideline only – it is not meant to be all-inclusive .
