Position : Sheriff’s Front Office Supervisor
Job Description : Hiring Range: $64,302-$83,599. The maximum pay for this position is $102,897.
The Sheriff’s Front Office Supervisor plans, directs, coordinates, and controls the activities of the Front Office Administrative Services Division of the Sheriff’s Office including, but not limited to sheriff sales, civil, concealed handgun permits, financial balancing and auditing, answering phone calls and voicemails as delegated by the Sheriff or Undersheriff and will be the primary Public Information Officer for the ECSO. In addition, this position provides assistance to the Sheriff or Undersheriff in the development and management of programs and procedures related to front office administration, in an effort to accomplish front office goals and policies; Ensures the efficient operation of the assigned division; Supervises, coaches and assists lower classified employees; Provides technical and professional advice to staff members and to other departments as appropriate.
Schedule: Monday- Friday 8AM-5PM although, this person is responsible for working a variety of hours which includes being on-call and available for emergency call-outs and media issues.

Essential Functions
Supervision:
Supervise, coach, motivate, train, evaluate and reward Sheriff’s Office Front Office team members through measurable setting of impactful office and individual goals.
Guide the team towards peak performance, goal accomplishment, and continued personal improvement through formal annual performance expectation plans and informal monthly performance discussions; successfully utilize the skills needed to tactfully address and document performance issues in real-time when appropriate.
Plan and facilitate formal and informal team meetings regularly sharing information related to complicated transactions, training opportunities, staff ideas, and teambuilding.
Coordinate staff work schedules, personal time, and medical leave to accommodate varying workflow demands and staffing needs to accomplish optimum office coverage.
Ensure proper and equitable application of all policies and procedures; in addition, to understanding the unique difference between staff members, office divisions and to foster on-going trusted relationships with all team members.
Determine short and long-term work priorities and drive the outcome of those priorities; report outcomes to the Undersheriff and Sheriff.
Participate in selecting best-qualified front office admin candidates, through evaluation of applications, résumés, references, and interactive interviews
Monitor and ensure compliance at all times with state, office, and county policies and procedures and laws
Resolve conflicts and inconsistencies between customer service needs and agencies.
Complete special projects as requested or assigned by the undersheriff or sheriff.
Act as Public Information Officer:
As the PIO, create and enable clear and concise communication between a government agency and both news media outlets and the general public, promoting a positive public image with statements released to the press and the community following government guidelines, being completely accurate and adhering to official policy or laws. To include but not limited to the following areas:
Planning and hosting press conferences to announce major news or address crises.
Preparing press releases, speeches, articles, social media posts, and other materials for public consumption.
Developing strategies and procedures for working effectively with the media.
Maintaining good working relationships with media organizations.
Collaborating with executive management and the marketing team to ensure a cohesive public image.
Working with various teams to organize and host public events and promotions.
Speaking directly to the public or media to address questions and represent the organization.
Leadership:
Lead by example and direct exceptional internal and external customer service procedures and approaches and with best practices.
Foster a culture of commitment, team spirit, pride, and trust among all Sheriff’s Office Divisions by working and consulting with divisional leaders and front line staff
Identify, develop, and champion strategic innovation initiatives to improve processes, procedures, or services to align with short and long term priorities, goals, and needs
Develop and sustain cooperative working relationships with internal and county offices and departments and other Colorado elected offices.
Attend professional meetings to enhance, share and maintain knowledge of best practices, trends, and new developments in our field.
Financial Auditing, Analysis, Personnel, and Planning
Perform, with great independence and critical thinking, all the duties of the ECSO front office staff including sheriff sales, civil, CHP’s, financial balancing and auditing, answering phone calls and voicemails, as well as being the primary PIO for the ECSO.
Monitor and audit accuracy and security of all revenue and expense transactions in the front office, to include financial auditing, analysis, personnel records, and planning.
Analyze ECSO Front Office Record keeping, bookkeeping, cash handling, refund, and auditing policies and procedures on a continual basis to create best practices that balance strong financial controls with efficient work-flow processes and excellent customer service
Evaluate financial and transactional data, project trends, and prepare ECSO budget and participate in the annual budget process.
Qualifications:
Education, Experience, Licensure, Certification, or Registration:
Bachelor’s degree in Business, Management, Government Administration, Political Science, Communication or, a related field of any other Bachelor’s degree which includes sufficient coverage of these content areas – preferred. Any combination of education, training and experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job will be considered.
At least four years experience in administration, business communication, customer service, finance, or accounting in a professional environment or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
Ten years of experience is preferred.
Proven leadership/supervisory experience managing direct reports and/or experience managing teams in multiple locations preferred.
Valid State Driver’s License.
Must be able to become certified in Liability, New-Com, NCIC/CCIC & NIBRS within 1 year.
Must complete Colorado Open Records Act training within 1 year
Must be able to become certified in Incident Command System (ICS) and specifically ICS PIO
Knowledge, Skills and Abilities:
Required:
Ability to competently learn and perform all the duties of the staff supervised.
Must be able to successfully complete a polygraph test, psychological exam, drug screen and detailed background investigation.
Must not have used illegal drugs within the past 3 years or marijuana within the past 1 year.
Must not have been convicted of any felonies or any acts involving domestic violence.
Above average computer experience with the proven capability to learn new and complicated software programs to include a variety of Google, RMS and Microsoft Office Suite programs
Ability to define problems, collect data, establish facts and draw valid conclusions; compile data and analysis to Undersheriff and Sheriff.
Analyze and interpret scope and application of laws and regulations of division/department programs and county rules, regulations, policies, and standard operating procedures
Ability to multi-task and perform with interruptions
Ability to stoop, stand and/or sit for extended periods, handle objects weighing 40 pounds or less
Ability to be dedicated, self-motivated, curious and problem-solve.
Ability to effectively handle customer dissatisfaction in a tactful, clear and courteous manner; remaining calm and focused in stressful situations.
Ability to communicate frequently, clearly, and concisely, both verbally and in writing; expressing facts and ideas in a clear, convincing, and organized manner using proper grammar with exceptional interpersonal and communication skills
Ability to organize work, set priorities, meet critical deadlines, and follow-up assignments with a minimum of direction, while supporting and assisting front office staff on resolving problems when routine and non-routine situations arise.
Preferred:
Knowledge of law enforcement theory and practice, as well as knowledge of the criminal justice system, strongly preferred.
Understanding of the use of Criminal Statutes, Civil law, and liability of each, strongly preferred.
Bilingual in both English and Spanish would be helpful.
