Job Description : AKhappenings is a wedding and elopement planning company based in Anchorage, Alaska and we are looking for someone to join our team and help us create unforgettable wedding days for our clients.GENERAL SUMMARY:This position is primarily responsible for day-of-coordination and may occasionally assist with the planning, and additional administrative tasks of wedding events. The expectation is to provide an outstanding wedding experience for our couples and their guests and to ensure that their vision comes together seamlessly on the wedding day. The successful part-time Wedding Coordinator will often act as the client’s primary contact on the wedding day and will personally contribute to the unforgettable guest experience, while being favorably viewed by supervisor and peers, and will be swift and efficient in the execution of their assigned duties. Performance will be measured by internal and external customer satisfaction, departmental tests, management evaluation, and feedback from peersSchedule:Part-timeSeasonal June-OctoberUp to 15+ hour days occasionallyHolidaysMust be available on Fridays, Saturdays and some Sundays + occasional mid-week weddings.COMPENSATION: Dependent on experience, starting at $18.00 + per hourBENEFITS: Tips, Wedding meals. Excellent training and professional development. Opportunity for growth.WORKING CONDITIONS: Often work is at an outdoor venue in a wooded environment with potential changing weather conditions. May be required to lift up to 50 lbs. May be required to walk up to 15 miles in a day.COMMITMENT: Two season minimum commitment.Wedding Coordinator Responsibilities:Planning:Support and assist the Wedding Coordination Team with planning the weddingWork with wedding couples to create a detailed plan for their wedding dayMain point of contact for assigned wedding couplesOngoing prompt communication with wedding couples to answer any questions leading up to their wedding daySchedule and manage wedding planning meetingsUse of computer systems (Google Drive, Excel, Aisle Planner, Dropbox)Create timelines, ceremony outline, floor plans, design boards, etc.Communicate with vendors any necessary information prior to weddingSocial Media Content creationChecklistsFinal walk through of grounds ensuring setup is completed to guests’ visionDay of Coordination:Oversee designated weddings and/or support and assist the Wedding Coordinator team with coordination of weddingsCeremony and reception set up and teardownWedding Day management for 8+ hoursLine up the bridal party for their entrances down the aisle and cue them when to go.Make each wedding party feel valued, well taken care of and relaxedRespond to guest concerns as they ariseManage ceremony rehearsal and rehearsal dinnersComplete Day-of-Wedding ChecklistMonitor & ensure event standards are maintained at the highest levelOversee and manage staff and vendors during rehearsal dinners, the wedding day and other events connected to the weddingOversee vendors to ensure wedding is according to planned, communicating any changesMeet with vendors on-site and distribute any day of paymentsFollow up with couples post-wedding for reviews and respond to reviews.Social MediaRespond to reviews via The Knot, facebook, Yelp & Google BusinessBatch and create content for different platforms (instagram, tiktok, facebook, etc.)Post on instagram and schedule content on PlannolyAccountabilityBe accountable and responsible for the above job description tasks.Meet as directed with the owner about tasks, priorities, projects, employees, including current status, next steps and concerns.Willingness to address any event concerns as they arise using appropriate communication & documentationPerform additional tasks as requestedKNOWLEDGE, SKILLS, AND ABILITIES:Excellent organizational skillsExcellent customer service, communication, and leadership skillsAbility to build excellent relationships with a diverse range of clientsAbility to work together as a collaborative team, flexibility in a dynamic work environmentAble to lead and supervise others in a positive and supportive mannerEnergetic, positive, “can do” attitudeCommitment to professionalism, work culture & company standardsAbility to complete tasks in a timely and effective manner, attention to detailAbility to remain calm, problem-solve and come up with solutions under stressAble to take initiative and be willing to help where most neededTeam player and willingness to cross cover other tasks at AKhappenings when necessaryEDUCATION, EXPERIENCE, AND CERTIFICATION:Minimum of one year of experience in event planning and/or wedding services highly preferredUndergraduate degree preferred though not requiredAKhappenings is an Equal Opportunity Employer and Prohibits Discrimination and Harassment of Any Kind.
