Job Description : Title: College Counseling Assistant
Job Status: Full-time (12 months) and non-exempt
Hours: Monday-Friday 7:30 a.m. to 4:00 p.m.
Position Summary:
Reporting to the Director of College Counseling, the College Counseling Assistant works with the Assistant to the Director of College Counseling to provide essential administrative and programmatic support to the college counseling program at ‘Iolani School. This includes organizing and managing projects independently and in concert with the director, associate directors, and the assistant to the director.
Essential Duties and Responsibilities
:
Student Records and Application Document Submission
Creates, assembles, and maintains confidential student records (electronic and paper). Integrates transcripts, report cards and standardized testing reports to complete the official college counseling file. Uploads all transcripts and test score reports to SCOIR.
Maintains SCOIR account, including teacher and student information. Assists with the electronic document submission through SCOIR of official transcripts, mid-year (7th semester) and final transcripts, application fee waivers, letters of recommendation, and supplemental forms for college applications and summer programs in advance of prescribed deadlines. Hard-copy submission of documents and securement of official certification (e.g. notary, apostille) for international documents as needed.
Process transcript requests from students and distribute to appropriate counselors.
Event Planning, Logistics, and Support
Creates and maintains digital calendars for the college counseling office and college counselors. Utilizing SCOIR and other online tools like RepVisits and Calendly, facilitates scheduling of virtual and in person college presentations, family conferences, and professional meetings.
Serves as a welcoming presence to both virtual and in-person visitors to the office. Secures and reserves on-campus locations for college presentations.
Collaborates with the director, associate directors, and assistant to plan and oversee all logistical arrangements for meetings and special events that include student workshops, parent presentations, college fairs, case study programs, Baccalaureate, and Graduation.
Liaises with outside vendors to provide graduation attire and official materials (announcements, diplomas, etc).
Marketing and Communications
Assists with marketing and promoting college counseling events through bulletin boards and other displays as well through electronic communications (email, updates to College Counseling section of section of school website, SCOIR).
Distributes large-scale communications to students and families utilizing SIS distribution tools as well as hard-copy distribution as needed.
Other Duties
Continues growth and development in the college counseling arena through attendance at conferences, workshops, etc. for the purpose of remaining current in the field and implementing best practices.
Other duties as assigned.
Required Qualifications
:
Excellent interpersonal skills with students as well as adults
Ability to handle interruptions, multiple demands and deadlines
Working knowledge of:
Microsoft Office, in particular, Word, Excel, and PowerPoint
Google Suite, in particular, Calendar, Drive, Docs, Forms and Sheets

Working Conditions/Physical Requirements:
Ability to see and hear within normal parameters with or without correction; full leg and arm mobility (walking, ability to access overhead shelves); full range of head, neck, and back movement; and unrestricted ability to bend knees, raise arms above the head, and to move hands, fingers, and wrist.
Ability to lift, carry and/or move up to 10-15 pounds without difficulty.
Ability to sit for extended periods; and ability to stand and/or walk for sustained periods of time.
Due to work in close proximity to children, must pass fingerprinting and background clearance checks.
TB clearance and COVID-19 vaccination (or medical or religious exemption) required.
