Position: Executive Assistant/Office Manager
Reports to: President/CEO
Exempt or Non-Exempt: Exempt
PRIMARY FUNCTION: The Executive Assistant / Office Manager is responsible for organizing and coordinating operations for thePresident/CEO to ensure her organizational effectiveness and efficiency. This position will co-report to the Director ofStrategic Development for office related items.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES:
Preparation of contracts and other documents for signature
Maintenance of professional and personal calendars
Arranging travel itineraries and necessary accommodations
Preparation and coordination for hosted events, including contract negotiation and vendor selection
Drafting of emails and other correspondence on behalf of the Executive office
Registration of personnel at educational events and other meetings
Manage and work cohesively with Receptionist position
Other duties, as assigned

High School Diploma/GED equivalent, (College degree preferred) and at least 5-7 years working experience in an office / administrative role, specifically supporting CEO/C-Suite level Executives
Experience in the Construction Industry, preferred but not required
Proficient with Microsoft software applications (Word, Excel, Outlook, PowerPoint)
Able to use discretion and maintain confidentiality for professional and personal tasks
Efficient, reliable and must work well under pressure
Excellent written and verbal communication skills
Detail-oriented with the ability to multi-task
Ability to work in a fast-paced environment. Adaptable to changes to planned tasks or schedule
Willingness to learn and adapt to other software programs.
ADDITIONAL REQUIREMENTS:
Ability to work 40 hours per week or more, if required
Ability to lift and/or carry up to 20 lbs. unassisted
May require repetitive use of arms, hands and fingers
May require prolonged periods of sitting and/or standing throughout workday
Willingness to travel to various job sites or other locations, as needed
Valid driver license and proof of insurability required when job duties require use of motor vehicle
Requires exercising discretion in decision making processes and maintaining strict confidentiality with respect to applicant, employer and company proprietary information
