Position Scope

GENERAL PURPOSE: Under general supervision, performs judicial and legal support, administrative, clerical, cash handling, and customer service functions in one or more areas of the court. Also, performs supervisory functions in the absences of the lead clerk and court administrator.

Primary Duties and Responsibilities

PRIMARY DUTIES AND RESPONSIBILITIES: The following duties ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification, only a representative summary of the primary duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.

Performs Court Clerk II functions on an as needed basis.
Conducts interviews with defendants after sentencing or arrest; investigates, evaluates and verified financial affidavits; grants or denies request for time to pay and warrant cancellation.
Evaluate case files to determine necessary action such as probation violation recommendations, arrest warrants, driver’s license suspension or tax refund interceptions.
Prepares and processes cases such as misdemeanor, civil traffic, parking violations, and other civil matters in compliance with legal requirements and procedures.
Performs tasks such as preparing and canceling warrants and summonses. Reports convictions to other agencies
Assists judges, attorneys and defendants in the courtroom, preparing orders, and sentencing documents for the court record.
Monitors cases for compliance with court orders including restitution, jail time, defensive driving school attendance, counseling, and community service.
Complies and maintains statistical information.
Maintains detailed and accurate accounting records of monies received and posted for fines, fees and forfeitures in accordance with minimum accounting standards to control receipt of money and to provide accurate and timely account reconciliation.
Assists entry level staff in problem resolution and facilitates training in court operations.
Investigates and responds to complex public complaints and requests for service in accordance with established policies and procedures. Assists public in person and on the telephone.
Effectively interacts with prisoners, defendants, and victims of crime in potentially volatile situations.
Performs supervisory functions in the absence of the lead clerk and court administrator.
Performs other duties as assigned or required.

Minimum Qualifications & Position Requirements

Education and Experience: High School diploma or GED equivalent, and five (5) years court experience; OR an equivalent combination of training and experience. Two years college education preferred. Necessary Knowledge, Skills and Abilities:

Knowledge of City Code, Arizona court system, Arizona Revised Statutes, Arizona Rules of Civil and Criminal Procedures, and legal terminology and courtroom behavior.
Knowledge of AJACS software.
Knowledge of basic bookkeeping methods.
Knowledge of the principles of record keeping and records management.
Skill in interpreting and applying Court standards and procedures, applicable state rules and regulations, and City policies and procedures.
Skill in explaining court procedures and processes in a clear, concise, and comprehensive manner to attorneys, litigants, and the public.
Skill in establishing and maintaining cooperative working relationships with employees, officials, other agencies and the general public.
Skill in operating a personal computer utilizing a variety of business software including AJACS court computer system.
Skill in providing direction, supervision and training to entry level employees.
Ability to make independent decisions following established procedures, manuals, and codes.
Ability to provide quality customer service and handle difficult public contact situations.
Ability to follow written and oral instructions.
Ability to read, understand, and accurately complete legal forms and documents.
Ability to interpret and follow complex rules, regulations and procedures.
Ability to apply legal terminology pertinent to court activities and procedures.
Ability to communicate effectively verbally and in writing.

Bilingual skills (English/Spanish) preferred.
