Position : Executive Administrative Assistant
Job Description : The Executive Administrative Assistant provides administrative support to the Senior Vice President of Pharmacy and department. Coordinates meetings, conference calls and communicates phone calls/message information. Provides reports for requested data and prepares Power Point presentations for executive level meetings. Coordinates and maintains all aspects of appointment calendars, including meetings and travel.
Job Duties/Essential Functions
· Maintains SVP and department calendars for meetings, appointments, travel and time off.
· Manages incoming calls from members, warehouses and pharmacy staff. Maintains incoming mail, emails, files, and relevant documentation related to confidential matters for the Pharmacy SVP.
· Pulls, creates and assembles reports and documents (forms, presentations, and spreadsheets) for Budget Meetings, business meetings and staff meetings.
· Coordinates department projects. Schedules and plans business meetings small and large.
· Helps keep staff on deadlines for reports and information. Tracks employee reviews and salary increases to ensure timeliness of completion.
· Go to person for resources, relaying communications from SVP to staff and coordinating SVP signatures/approvals.
· Tracks FMLA and time off. Compiles weekly attendance reports for payroll.
· Contacts Human Resources, Payroll, Expense Accounting, Financial Accounting, and IS for any area issues. Arranges acquisition, repair, and maintenance of office equipment. Orders all office supplies.
· On-boards new hires for the department, updates the organizational chart, and maintains the Pharmacy intranet page.
· Manages Central miscellaneous expenses and P-Card for supply purchases.
· Maintains confidential vendor and employee files, handles correspondence, faxes, and runs outside errands as needed for projects.
Ability to operate vehicles, equipment or machinery.

Experience, Skills, Education & Licenses/CertificationsRequired:· Intermediate to advanced knowledge of Microsoft Office, Gmail and G Suite.
· Detail-oriented, well organized and able to manage multiple and fast changing priorities.
· Able to identify and prioritize tasks with excellent troubleshooting skills.
· Strong interpersonal skills with an emphasis on written and verbal communication.
· Demonstrated success in maintaining a professional demeanor during hectic or stressful times. Ability to adjust positively to change in direction or assignment. Consistently flexible.
· Ability to interact and work well with all levels of management.
· Self-starter and multi-tasker with a proven ability to work with minimal supervision
· Reliable, self-motivated individual with a positive, professional demeanor.
· History of providing superior member service over the phone and in person.
· Relates well with a variety of personalities and individuals, both in person and over the phone.
· Proven ability to maintain the highest level of confidentiality at all times.
· HIPAA Training (Within 30 days of hire)
Recommended:· Preferably one year of Administrative Assistant experience.
· Familiar with programs: AS400, WebEx, Zoom, Microsoft Teams
· Experience developing presentations.
· Willingness and motivation to take on additional responsibilities.
· High school diploma or GED.
