Position : Administrative Coordinator
Job Description : Manage multiple calendars, scheduling and coordinating meetings, ordering supplies, complete expense reports. Provide support to the BVCC Safety Team including developing communication, scheduling of safety training classes, maintaining documents and records. This position is also responsible for assisting with new hire onboarding, building access and issuing Contractor ID badges, resolving payroll issues and distributing paychecks.
Responsibilities :
Payroll
Assist with daily new hire onboarding
Assist with fingerprinting
Assist with organizing and distributing 800+ weekly paychecks to field personnel
Provide filing assistance
Event & Decorating Support (EDS)
Manage permit process for events and projects
Track material purchases with vendors and PO system
Request and manage equipment rental requirements with project teams and Sunbelt Rentals
Assist EDS Planners with project implementation
Procurement
Follow-up with vendors / subcontractors to submit invoices for services rendered
Assistance with receiving materials in SAP
Manage material requisition log and follow-up on outstanding items for closed projects
Basic Qualifications :
Strong time management skills along with the ability to be flexible with
daily tasks and the ability to prioritize the daily/weekly/monthly
workload.
Proven proficiency with Microsoft Office applications and SAP.
Demonstrated high level of comfort with multi-tasking within the role
as well as the ability to interact with others within the FOS organization.
Demonstrated verbal and written communication skills.
Proven problem solving skills as well as a willingness to employ
continuous improvement process skills.
Demonstrated effectiveness working in a team environment
Proven SAP Casual Buyer proficiency including receiving materials and
researching Vendor invoices & payments.
A minimum of 3 years administrative experience in a similar role.
Required Education :
High school diploma or equivalent
