POSITION PURPOSE:
As a unit under the Division of Enrollment Management, the Department of Enrollment Services, Office of Undergraduate Admissions is responsible for a variety of tasks and operations within admissions. The Office of Undergraduate Admissions is a student-service oriented department on campus facilitating entry into the University through provided policies set forth by the expectations of the university and CSU system.
Under general supervision of the Director of Enrollment Services and the Senior Admissions Officer, Admissions Specialists are tasked with ensuring prospective applicants to the university are reviewed, decisions on eligibility and admission to the university are made in accordance with CSU and campus eligibility practices and transcripts for admission are evaluated for eligibility. Incumbents in this role utilize a variety of purposeful tools, enrollment management technology, and other resources in order to carry out the tasks in an accurate and efficient manner. Admissions Specialists interact frequently with various areas and stakeholders including students, faculty, and other staff on a regular basis to facilitate their work.
DUTIES & RESPONSIBILITIES:

Admissions Evaluation

Admissions evaluations for CSU eligibility for applicants, undergraduate First-Time Freshmen (CSU A-G eligibility) and Transfer applicants.
Review applicant materials including self-report information and submitted correspondence, create and assign communication, checklists, and comments required for the application (i.e. transcript requirements, test scores, application fees, etc.)
Review accuracy of application data to ensure efficient processing; track applicant files for completion of required documents for admission including transcripts, fees, etc; update and maintain student information system to reflect information on applicant. Report progress of applicant pool status.
Review applicant data to verify accuracy and soundness, of student self-reported and planned information; apply CSU policies to determine if applicants are eligible for admission; render admission decisions based on policies.
Review and determine applicant residency information for accurate tuition assessment upon enrollment. Research, request, and collect necessary documentation in order to make decisions on residency. Refer and consult with residency specialist as necessary.
Validate admission application information such as grades, course equivalencies and update, as necessary, required data fields for reporting requirements, i.e. Enrollment Reporting System (ERS), GPA, transfer breadth requirements, graduation dates, test scores, other coding; prepare files.
Handle inquiries related to admissions and records functions via phone, email, in-person, and/or written correspondence.
Knowledge of application filing periods and deadlines is vital in managing workload, understanding departmental needs, and the prioritization of student services.
Assign communications and add checklist items to the student’s portal.

Transfer Credit Evaluation

Evaluate and review transfer student transfer credits as they are received in External Education
Verify the institutions reported have an accreditation accepted by the CSU
Analyze course descriptions to determine if they are transferable in accordance to CSU Policy
Verify that equivalencies satisfy requirements for the Breadth requirement, and general education
Work as a liaison between faculty, advisors, and administrators to eliminate barriers students encounter when it comes to the transferability of course credit equivalency
Utilize the student’s academic requirements page to verify all credit posted reflects accurate degree progress.
Prioritize the workload and timeframe for processing evaluations to maintain and promote continued student success.

REQUIRED QUALIFICATIONS:
EDUCATION & EXPERIENCE – Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration, or job-related field and two (2) years of recent related student services experience. Specialized experience during which the applicant has acquired and successfully applied the appropriate knowledge and abilities may be substituted for the required education on a year-for-year basis. A master’s degree in a job-related field may be substituted for one year of the professional experience.
SKILLS, KNOWLEDGE & ABILITIES (SKA’s) –

Knowledge of the format and interpretation of course records, data, and transcripts from high schools, colleges, and universities.
Authenticating course credits and comparing records against set guidelines.
Through and able to follow uniform guidelines in maintaining consistent, and accurate in the interpretation and/or analysis of records against criteria;
Skilled in the use of standard office productivity software (Word, Excel, Outlook, PowerPoint, etc.)
Comprehend and interpret complex regulations/policy or requirements and to apply them in the evaluation process efficiently; update coding of records;
Maintain accurate records; organize work to meet deadlines and appointments in a fast-paced office including periods of high demand and multiple priorities.
Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
Demonstrated ability to maintain a high degree of confidentiality.
Ability to identify conflict, problem solve and resolve student issues and concerns efficiently and effectively
Skilled in writing grammatically correct routine business correspondence such as brief memos and correspondence to varying audiences, e.g. students, faculty, administration, staff, community members, etc.
Ability to make oral group presentations to provide information or explain procedures, policies, etc.
Knowledge of the role, importance, and position as it relates to the overall services of an organization, i.e. university
Ability to effectively explain and present information related to collected information or outcomes while representing the university well
Reliable, consistent, and responsible attendance
Excellent computer skills and competence with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
Working knowledge of or ability to quickly learn University infrastructure, policies and procedures.

PREFERRED QUALIFICATIONS:

Two years of experience in college admission evaluation.
Experience in using technology including student information systems (PeopleSoft), electronic document management systems (OnBase), online tools and resources (assist.org, UC CMP).
Experience in analyzing and interpreting student documents and process requirements
Experience in applying university policies regarding admissions and enrollment
Excellent written communication and customer service skills

PHYSICAL DEMANDS: SEDENTARY WORK – involves mainly sitting; minimal walking and standing; lifting light weight objects limited to 15 pounds.

SPECIAL CONDITIONS:
SCREENING: Only those applicants possessing experience most directly related to the immediate needs of the office will be invited to appear before a Qualifications Appraisal Board for the purpose of appraising training, experience, and interest in the position.
BACKGROUND CHECK: Satisfactory completion of a background check (including a criminal records check) is required for employment.
